The Senior HR Administrator will be responsible for managing various HR functions, including payroll processing, employee benefits, statutory surveys, work pass applications, and HR data maintenance. This role requires a detail-oriented individual with strong organizational skills to ensure HR operations run smoothly and efficiently.
Key Duties and Responsibities:
- Work Pass Management: Handle applications, renewals, and cancellations of MOM work pass and dependent pass.
- HR induction: Conduct HR induction for new employees, including training on Employee Self Service in SuccessFactors (SF).
- Payroll Processing: Collaborate with payroll vendor to ensure timely and accurate payroll processing and income tax submissions for all Singapore entities.
- Employee Data Maintenance: Maintain employee data in SF efficiently and timely.
- Government Grant and Claims: Monitor submissions of government grant paid leaves and National Service Claims by payroll vendor.
- Benefits Claims Verification: Verify employees’ benefits claims reimbursement via SF.
- Annual Review Support: Assist Head of HR Operations, Singapore, in the execution of the annual review.
- Employee Insurance Coordination: Work with Head of HR Ops and insurance team on group employee insurance plans and maintenance of Census for issuance and termination of employees and their dependents’ enrolment.
- Employee Benefit Briefings: Coordinate with insurance broker for quarterly employee benefit insurance briefing.
- Training Payment Coordination: Coordinate with Finance on staff training payments, including government training grant.
- Reporting: Verify employee headcount reports and submit monthly reports to Finance and Project Controls.
- Statutory Surveys: Handle statutory HR surveys.
- Audit Support: Responsible for payroll audits and support ISO audits.
- Employee Queries: Respond to employees’ HR-related queries.
- Invoice Verification: Verify HR-related invoices and coordinate with Finance for payment.
- Documentation: Prepare employees letters and file of data in SharePoint and personal files.
- Staff Welfare: Arrangement staff welfare gifts for new births, get well and condolences for employees.
- Ad-hoc Requests: Assist in all ad-hoc requests by Head of HR Operations, Singapore.
- QHSSE Duties – every employee shall:
o Take care of themselves and others who may be affected by their acts or oversights;
o Not interfere with or misuse anything supplied for their health, safety and welfare;
o Report quality related problems and HSSE hazards or deficits within their area to the QHSSE department;
o Promote and take part in the QHSSE continuous improvement process.
Requirements:
- Diploma In Human Resources, Business Administration, or a related field.
- Minimum of 5 years of experience in a similar role.
- Experience working with payroll vendor and managing payroll processes.
- High level of accuracy and attention to detail in all tasks.
- Ability to verify and process HR-related tasks meticulously.
- Competent in MS Office.
- Proficiency in HR software, particularly SuccessFactors.
