Front Desk Responsibilities:
- Provide courteous and professional frontline customer service for the counselling centre.
- Manage appointments, including scheduling, sending reminders, and ensuring room bookings are accurate.
- Serve as the primary point of contact for clients and therapists, addressing inquiries and concerns promptly and professionally.
- Provide clients with information about services, pricing, and policies.
- Ensure the room is prepared before each session, including refreshments, and maintain the cleanliness and neatness of the centre.
- Collect payments and send the necessary information to the finance department.
- Uphold confidentiality of both client and therapist information.
- Perform any other ad-hoc duties as assigned.
Administrative Responsibilities:
- Maintain and upkeep the office space, ensuring everything is in order.
- Handle email and phone inquiries, forwarding them to the relevant person in charge.
- Oversee procurement of office supplies and items.
- Assist with and participate in event preparation.
- Perform any other ad-hoc duties as assigned.
Requirements and skills
- Proven work experience as a receptionist, front office representative or similar role Customer service of at least 2 years , Previous experience in a similar role, particularly in a counselling, clinic or mental health setting.
- Proficiency in Microsoft Office
- Professional attitude and appearance
- Good verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent customer service skills
