A. Strategic HR and Company Culture Development

  1. Reporting Structure: Report directly to the Managing Director (MD) to lead and implement the company's strategic HR initiatives.
  2. Assessment of Current Practices: Analyze the existing HR strategies and policies. Collaborate with the MD to identify areas for enhancement and alignment.
  3. Understanding Company Context: Familiarize yourself with the company’s history, evolution, vision, and goals.
  4. Effective Communication: Clearly communicate HR policies and rewards schemes to all staff, actively seeking their feedback.
  5. Personal Engagement: Conduct one-on-one discussions and surveys to gather constructive feedback for improvement programs.
  6. Open Communication Channels: Facilitate an open line of communication between staff and leadership on behalf of the MD.
  7. Identifying Issues: Identify and consult on "toxic" employees, recommending necessary changes for improvement.
  8. Team Building: Assist the MD in cultivating a strong team of Heads of Departments (HODs) through monthly meetings.
  9. Cultural Transformation: Collaborate with HODs to shape a new company culture and foster a positive staff mindset.
  10. Brand Management: Ensure the company’s LinkedIn, website, and Glassdoor profiles reflect positive content and image, highlighting HR events.
  11. Achieving Recognition: Strive for the company to attain "Most Liked" SME status.
  12. Budget Planning: Develop and present a yearly HR capital budget and optimization plan to the MD.

B. Recruitment Framework

  1. Recruitment Channels: Establish and enhance effective recruitment channels (WSG, JobStreet, LinkedIn, HR agents).
  2. Selection Process: Strengthen the selection process, including candidate profiles, job matching, interview questions, and assessments.
  3. Onboarding Documentation: Draft Letters of Acceptance (LOA) and manage the onboarding process.
  4. Orientation: Facilitate staff orientation and ensure smooth handover to HODs.

C. Performance Review Framework

  1. KPI Development: Set up and review KPIs for each department in collaboration with HODs.
  2. Performance Appraisals: Conduct matrix appraisals for staff performance and provide recommendations.
  3. Competence Analysis: Establish a proper competency gap analysis for staff.
  4. Career Path Mapping: Collaborate with HODs to create career paths for each staff member.
  5. Training Recommendations: Suggest upgrades, reskilling, and training programs.
  6. Staff Transition: Identify when it may be necessary to let go of underperforming staff.

D. Staff Training Framework

  1. Training Setup: Work with HODs to establish both internal and external training programs.
  2. Mindset Training: Implement ongoing training focused on staff mindset and alignment.
  3. Workshops and Team Building: Organize departmental workshops and team-building events.
  4. Government Programs: Explore and implement relevant Singapore government HR programs (ITE, internships, reskill grants, etc.).

E. General HR Administration

  1. Town Hall Meetings: Conduct monthly town hall meetings to inspire and communicate with staff.
  2. Annual Events: Organize the company’s yearly dinner and team trips.
  3. ERP Familiarity: Gain proficiency with existing ERP and HR systems, including TaskHub and Infotech for e-filing.
  4. Collaboration with Finance: Work closely with the finance team on staff claims, overtime, and other HR-related matters.
  5. Accommodation Arrangements: Source and arrange dormitory accommodations for staff.
  6. Regional HR Policies: Study new HR policies in regions like Indonesia and Malaysia to align with the company’s growth.
  7. Document Updates: Keep the company handbook and other HR documentation up to date.
  8. Regulatory Awareness: Stay informed about MOM regulations and update the finance team accordingly.
  9. Seasonal Decorations: Collaborate with the admin team to decorate the company for festive seasons (CNY and Christmas).
  10. Social Events: Organize social events for team building, such as BBQs, bowling, and sports activities.
  11. Payroll Processing: Oversee monthly payroll with overtime verification.
  12. Leave Management: Manage all staff e-leaves and maintain the associated system.
