Job Overview:
We are seeking a proactive and detail-oriented Administrative Operations Executive to oversee administrative tasks and operational activities. The successful candidate will manage daily office operations, ensure efficient job site manpower arrangements, and handle critical employee and client communications.
Key Responsibilities:
- Arrange and allocate manpower at job sites daily with staff management.
- Check daily attendance and follow up with security personnel.
- Create and regularly update employee records.
- Prepare claims, transport expenses, and reimbursement documents.
- Prepare monthly payrolls for security personnel.
- Prepare monthly invoices and manage billing processes.
- Handle client feedback and submit comprehensive reports to management.
- Prepare and update sales, expenses, and operational reports.
- Assist with technician support for job site operations.
- Assist in the preparation of tenders and quotations related to security contracts.
- Prepare and assist in generating incident reports as required.
Qualifications:
- Diploma or Degree in Business Administration or a related field.
- Minimum 2 years of experience in administrative or operational roles, preferably in the security industry.
- Strong organizational and multitasking skills with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and maintain confidentiality.
- Strong communication skills, both written and verbal.
- Knowledge of payroll, invoicing, and employee record management is an advantage.
