Job Responsibilities
- Assist the Active Ageing Centre’s Manager / Assistant Manager by
- Executing administrative processes needed to ensure smooth operation and functioning of AAC services and ensuring compliance with audit requirements
- Assist in centre procurement of goods and services including invoice processing and liaising with external vendors.
- Prepare cash collection reports, cash deposits, etc.
- Data entry and data collation to submit statistics and progress reports for grant claims to Agency for Integrated Care (AIC).
- Liaising with Corporate Services on pickups and deliveries.
- Assist in AACs’ outreach activities such as carnivals, block parties, door-knocking, etc.
- Answering phone calls and attending to walk-in enquiries.
- Attendance taking
- Assist in the administration and preparation of programmes and events for seniors or volunteers.
- Manage e-filing of essential documents and ensure that they are current.
- Assist in office maintenance, such as ensuring sufficient office supplies and equipment maintenance.
2. Support the Admin Executive and Head of AACs in:
- Co-ordinating AACs’ training and staff events.
- Participate in regular audits ensuring compliance with audit requirements stipulated by both internal and external parties, such as AIC.
- Covering the duties of the Admin Executive when he or she is on leave, as far as possible.
3. Any tasks as assigned by the Centre Manager.
Job Requirements:
- Minimum GCE N or O Levels certificate
- Experience in an accounting role or a customer fronting role will be a plus
- Certificate in Accounting would be advantageous
- Proficient in Microsoft Excel and Word
- Willing to cover 2 centres and travel to different centres when required
- Familiarity with Salesforce (Customer Relationship Management system) would be advantageous
- Good interpersonal and communication skills
