JOB DESCRIPTION
Job-holder is responsible to administer the purchasing activities, and ensure that all purchases are made at the optimal price.
ROLE AND RESPONSIBILITIES
- Manage purchase requests from stakeholders
- Process the purchase orders by liaising with suppliers and requestors
- Process GRN (Goods Received Note in SAP system)
- Track the status of requisitions, contracts and orders
- Respond to requestors and/or suppliers pertaining to queries about order status, changes or cancellations
- Ensure all purchases are approved within mandated policy and guidelines
- Review Purchase Requisition to verify accuracy and specifications
- Assist in the sourcing locally and overseas for new goods not supplied by regular principals/suppliers
- Arrange air and sea freight and liaise with forwarders on services and costs
- Ensure insurance declaration is done for purchases
- Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications
- Prepare and maintain purchasing files, reports and price lists
- Liaison with vendors and ensure supporting documents are accurately provided for vendor creation in the SAP system.
- Assist the senior purchasing executive with related procurement month-end/year-end closing activities with Accounts Payable.
- Support school activities when required
- Perform any other duties as assigned by the Reporting Officer/Senior Management
QUALIFICATIONS AND SKILLS
- Minimum Diploma qualification
- At least three 2-3 years of relevant purchasing/administration working experience
- Required lifting, moving and pushing of heavy/bulky goods from time to time.
- Working experience in the education industry is preferred
- Knowledge of procurement methods and procedures of a centralised purchasing function
- Knowledge of the ERP system SAP S4 Hana is preferred
- Possess good IT skills and knowledge. Proficient in Google Workspace and Microsoft (MS) Applications
