Your duties as Clinic Assistant include but are not limited to the following:
Clinical Support
1. Client Preparation:
- Ensure clients are prepared before treatment (cleansing, numbing, photo-taking, and consent form completion).
- Prepare all items and machines required for doctor treatments.
2. Treatment Assistance:
- Assist doctors during treatments and provide post-care according to clinic protocols.
- Conduct follow-up calls two days after clinic visits to reinforce post-treatment care and schedule review appointments with the treating doctor.
- Prepare and maintain client treatment cards, ensuring doctor signatures.
3. Record Keeping:
- Document all treatments and item usage, including fillers and Botox.
- Ensure doctors sign dispensing forms for items used.
- Key in all treatment-related invoices into the system.
4. Customer Service:
- Provide excellent customer service, communicating with clients before and after clinic visits via company telephone or corporate mobile phones.
- Monitor customer appointments and compliance with treatment regimens.
5. Clinic Maintenance:
- Dispense products and medicines, billing clients with consultant guidance.
- Perform machine checks before clinic start and refill items in doctor treatment rooms.
- Maintain clinic cleanliness and tidiness.
- Ensure smooth coordination of the treatment flow.
6. Administrative Tasks:
- Handle stock orders and maintain stock records for the aesthetic clinic.
- May be required to work at another branch in case of manpower shortages.
Administrative Support
1. Appointment Management:
- Make appointments for new leads generated from social media platforms, walk-ins, or calling lists provided by the marketing/tele-sales team.
- Engage with walk-in and enquiry customers.
2. Sales Promotion:
- Promote sales of packages, services, and skincare products as needed.
3. Professional Development:
- Attend training or meetings as required, even outside normal working hours, to acquire necessary skills and knowledge for the job.
4. Flexibility and Teamwork:
- Assist in ad-hoc duties assigned by the Reporting Officer.
Qualifications:
- Previous experience in a similar role in a clinical or aesthetic setting.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Knowledge of aesthetic treatments and procedures is a plus.
