What are we looking for?

Our Advanced Process Manufacturing, Singapore is seeking an experienced Project Administrator with a solid background in construction support to join our growing team in Singapore. This role will require a strong knowledge of Tool Install projects. The primary focus of this position is related to risk and issue management supporting the project goals and milestones.

The successful candidate will play a key role in providing administration services for the project team. In this exciting and busy role, the Project Administrator will be tasked with coordinating a wide range of administration, reporting, office management, documentation, and quality system tasks.


Job Scope:

Key responsibilities include but are not limited to:

  • Support Site Lead for data entry and risk management
  • Consolidate and report out tool install indicators
  • Consolidate and report out constraint log issues
  • Assistance in tracking and reporting of indicator programs (green badge sponsors, tool closeouts, forecasts, incident investigation reports, leading safety indicators, lagging safety indicators, etc.
  • Maintain appropriate levels of office supplies and materials
  • Efficient delivery of onboarding and access requests
  • Co-ordinate employee office set up, moves, and transfers
  • Assistance in preparation to presentations and communications to customers
  • Maintain accurate communication lists (contact lists, phone lists, on call, work hours, etc.).
  • Schedule, coordinate, and attend meetings to capture and publish meeting minutes
  • Schedule and coordinate meetings to support communication objectives
  • Other ad-hoc duties as required.

Job Requirements:

  • Demonstrated experience supporting multidisciplinary project teams
  • Relationship management and coordination experience
  • 2 years of administrative assistance experience

Skills:

  • Reporting proficiency
  • Basic understanding and ability to pull reports from project integration and schedule management systems and other databases
  • Strong IT Skills in MS 365
  • Excellent communication, stakeholder management and presentation skills
  • Strong organisational skills and attention to detail
  • Analytical, problem-solving skills, and the capability to work well under deadlines.
