The Knowledge & Workspace Department supports the creation, retention and sharing of knowledge critical to IPOS in meeting its organisational goals. It also administers IPOS’s physical and digital workspaces. We are seeking a dynamic and tech-savvy individual to support our knowledge management and digital transformation initiatives. If you have a keen eye for detail and a passion for continuous improvement, this role offers the opportunity to collaborate with various teams to optimise our workspaces, systems and processes, ensuring they are user-friendly, efficient, and aligned with our business needs.
The key responsibilities:
- Assist with the implementation and administration of knowledge management systems and digital workspace solutions, including the rollout of two new records management systems in 2025.
- Support user departments in adhering to knowledge management policies and procedures, focusing on the organisation, storage, declassification, and disposal of records.
- Administer and enhance the company's intranet by facilitating content creation and improving user interface and experience to increase accessibility and engagement.
- Contribute to the digital transformation, redesigning and delivery of workspace services and processes.
- Support the coordination and implementation of workspace programmes such as Workplace Safety & Health (WSH), Business Continuity Planning (BCP), and the GreenGov.SG environmental sustainability initiative.
We want to hear from you if you:
- Hold a tertiary qualification, preferably in knowledge management, information systems, communications, or a related field. Having professional certifications relevant to this role is advantageous.
- Possess an understanding of knowledge management principles and records management processes. Having 2-3 years of relevant work experience is advantageous.
- Are proficient in Microsoft 365 applications and have some knowledge of web content management principles. Experience in administering knowledge/records management systems and/or designing intranet sites on SharePoint Online is a plus.
- Have some experience in business process improvement, technology integration, service design, and/or change management.
- Exhibit excellent written and verbal communication skills, with the ability to collaborate effectively across diverse teams.
- Demonstrate a proactive and flexible approach to work, with the ability to prioritise and manage tasks and projects in a dynamic environment.
