Responsibilities
1. Managing the calendar for the Group Chief Executive Officer and other C-Level Executives (“C-Level Executives”), including scheduling appointments and coordinating and confirming meetings with both internal and external stakeholders.
2. Attending the abovementioned appointments and meetings as needed, and taking down the minutes. Please note that some appointments/meetings may fall on weekends.
3. Assisting in travelling arrangements such as booking of flights of the C-Level Executives and/or designated staff, and related accommodations.
4. Assisting in the sign-up of courses that the C-Level Executives and/or designated staff may need to attend.
5. Managing the social media of the Group.
6. Assisting in the reservations with food establishments for any events of the C-Level Executives.
7. Collating and/or producing professional-looking, corporate decks/powerpoint slides.
8. Acting as an all-around gatekeeper and strategically assisting the C-Level Executives to effectively lead the Group and its staff and to develop the business.
9. Meeting and greeting external visitors to the Group’s premises on behalf of Business Development, and assisting in any ad hoc tasks as Business Development may require.
10. Being able to interact with internal and external stakeholders (e.g. clients) with confidence.
11. Assisting in the booking of transport (including the company driver) for the C-Level Executives.
12. Being responsible for internal and external correspondence on behalf of the C-Level Executives, and being able to prepare letters and notes with very few instructions.
13. Assisting in any ad hoc tasks as Head of Human Resource may require.
Requirements
a. At least 1 year of relevant working experience as Personal/Executive Assistant
b. Diploma or higher qualification
c. Prior experience in providing outstanding administrative support in fast-paced and international environments.
d. Competent proficiency in both English and Mandarin in order to liaise with the subsidiaries in China
e. Competent communication and interpersonal skills and experience in interacting with executives, professionals and/or clients.
f. Exceptional time management and organizational skills.
g. Strong integrity with ability to handle highly confidential situations with professionalism and tact.
h. Proficiency in Microsoft Office suite (e.g. PowerPoint, Word, Outlook) and Canva.
