PERSONAL ASSISTANT

Job Description:

We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive administrative and organizational support to our senior management team. The successful candidate will be responsible for managing daily schedules, handling confidential matters, and ensuring the smooth execution of tasks.

Key Responsibilities:

  • Managing emails and correspondence (filtering and responding on behalf of the employer)
  • Scheduling and organizing meetings, appointments, and events
  • Maintaining and updating contact lists
  • Drafting letters, reports, and other documents
  • Taking minutes during meetings
  • Managing the employer’s daily, weekly, and monthly calendar
  • Reminding the employer of important tasks and deadlines
  • Coordinating with other team members to ensure smooth scheduling
  • Booking flights, hotels, and transportation
  • Preparing itineraries and travel documents
  • Handling any changes or cancellations to travel plans
  • Following up on tasks assigned to others
  • Handling ad hoc requests and tasks as they arise

Requirements:

  • Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
  • Proficiency in Mandarin is required to effectively communicate with clients or stakeholders who primarily speak Mandarin.
  • Diploma or Degree in related field preferred.
