The Hospital Operations Manager is tasked with managing key operational functions within the hospital, including linen and laundry services, food services, bed management, claims processing, and project management. This role is critical to ensuring that all services run smoothly and efficiently, while delivering an outstanding patient experience and maintaining compliance with regulatory standards, such as the Personal Data Protection Act (PDPA). The manager will collaborate with multidisciplinary teams to achieve operational excellence, manage vendor partnerships, and oversee budget and financial performance.

Responsibilities

  • Linen and Laundry ManagementSupervise the linen and laundry services, ensuring timely cleaning, distribution, and availability of linens.
    Apply best practices for inventory management and monitor linen usage to control costs.
  • Food ServicesPartner with the food services team to design and implement menus that meet dietary standards and enhance patient satisfaction.
    Ensure compliance with food safety and health regulations.
  • Bed ManagementOversee bed occupancy and availability, coordinating with nursing and admissions teams to ensure efficient patient flow.
    Develop strategies to reduce wait times and improve bed turnover rates.
  • Claims Management (Senior Mobility & Enabling Fund, One-Rehab, Medifund, Medifund Silver, Financial Assistance Scheme)Supervise claims processing to ensure accurate and timely submissions.
    Work with other departments to resolve issues and streamline processes.
    Analyze claims data to identify patterns and areas for improvement.
  • Hospital Inspections Conduct routine inspections to ensure compliance with healthcare standards.
    Lead preparation for external accreditation and inspections.
  • Project ManagementLead cross-departmental projects to enhance operational efficiency, patient care, and service delivery.
    Create project timelines, budgets, and ensure projects are completed on time and within budget.
  • PDPA ComplianceEnsure compliance with the Personal Data Protection Act by safeguarding patient data.
    Conduct regular audits and train staff on data protection policies and best practices.
  • Management MeetingsProvide secretarial support for management meetings, ensuring effective communication and documentation.
    Collaborate with leadership to facilitate discussions that drive operational improvements and strategic decisions.
  • Collaboration with Multidisciplinary TeamsFoster collaboration between clinical and administrative teams to improve patient care and operational efficiency.
    Participate in interdisciplinary meetings to solve challenges and develop solutions.
  • Procurement and Vendor Management Manage procurement processes for services such as linen, food services, and other operational needs. Build and maintain strong vendor relationships, negotiating contracts for optimal terms and service delivery.
  • Staff Management Recruit, train, and develop staff while fostering a positive and growth-oriented work environment. Conduct performance evaluations and provide coaching to improve team productivity.
  • Budgeting and Financial Management Develop and oversee operational budgets, ensuring alignment with financial goals. Monitor expenses and implement cost-saving measures. Utilize data analytics to inform operational decisions and improve hospital performance.
  • Collaboration and Communication Coordinate with clinical and administrative teams to maintain seamless operations and high levels of patient satisfaction. Address feedback from both staff and patients to continuously improve service delivery.
  • Additional Information Work in a fast-paced hospital environment. Flexibility in work hours may be necessary to meet operational demands. Take on other responsibilities as needed, including tasks related to the expansion of services or new projects.

Requirements

  • Bachelor’s degree in Healthcare Administration, Business Administration, or a related field; Master’s degree preferred.
  • At least 5 years of experience in healthcare operations, specifically in managing services such as linen, food, or patient management.
