Key Responsibilities:
- Manage and maintain all production and quality documents, ensuring they are easily accessible and stored according to company procedures.
- Control document numbering, revisions, and distribution, ensuring that only the latest versions of documents are available to the team.
- Develop and maintain efficient systems for filing, archiving, and retrieving documents, both electronically and physically. Ensure documents are easy to retrieve for audits, reviews, and compliance checks.
- Monitor and review document submissions for accuracy, quality, and completeness before filing or distribution.
- Maintain and control document registers, ensuring that all incoming and outgoing documentation is accurately logged and tracked.
- Provide regular reports on document control activities, ensuring stakeholders are kept up to date on the status of documentation.
- Assist with document audits, including preparing documentation for internal and external audits.
Job Requirements:
- Diploma holder or equivalent.
- Proven experience as a Document Controller or similar role.
- Proficiency with document management systems and related software (e.g., MS Office, SharePoint, EDMS).
- Strong attention to detail with excellent organizational and time management skills.
- Ability to handle large volumes of documents, ensuring accuracy and timeliness in retrieval and distribution.
- Good understanding of ISO standards and document management best practices.
- Ability to work independently.
