Job Responsibilities
- Team Leadership & Management: Assist the Manager in leading and managing warehouse and administration teams to meet customer requirements. Ensure staff are adequately trained and adhere to operational, HSE, Security, 5S, and quality standards.
- Customer Relations: Professionally address customer inquiries, issues, and complaints to ensure satisfactory resolution.
- Reporting & Billing: Generate accurate KPI, QBR, and monthly billing reports, ensuring timely submission for approval and audit purposes.
- Compliance & Process Management: Ensure team compliance with operational processes and customer-specific requirements. Oversee document updates and adherence to company policies, including disciplinary actions when necessary.
- Performance & Process Improvement: Analyze performance metrics to identify improvement opportunities. Lead process mapping, continuous improvement, and sustainability initiatives.
- Collaboration: Work with cross-functional teams (e.g., IT, HR, Finance) to resolve issues and support operational goals. Collaborate with Quality Executives to close non-conformances, NCRs, CAPAs, and audit actions within deadlines.
- Inventory & Cost Management: Manage headcount, overtime, stop shipments, and inventory reconciliation to meet operational and financial KPIs. Drive cost-saving initiatives and productivity improvements.
- Training & Succession Planning: Assist the Manager in planning internal/external training for the team and ensure succession planning is in place for all roles.
- Other Duties: Handle system testing/upgrades, manage purchase requisitions, approve administrative personnel e-leave applications, and support quarter-end closure activities.
Requirements:
- Diploma with min 3 years of related experience
- Good in Microsoft Office Suite (e.g. Excel, Powerpoint, Outlook, VBA)
- Experience in using and creating operations dashboards (e.g. PowerBI, Tableau) is an added advantage
- Able to communicate effectively with internal / external customers.
