Job Responsibilities:
- Provides administrative support to other team members as required to achieve functional objectives and deadlines
- Provide full secretarial service as per Project Contract Requirement
- Provide comprehensive and efficient administration and secretarial support
- Handling and monitoring project files including confidential files
- Coordinate appointments, meetings and conferences
- Ensure efficient management of incoming and outgoing mails/ materials
- Handle travel and hotel/ accommodation arrangements
- Prepare and call for meetings
- Coordinates document review and approval processes.
- Ensures compliance with company and legal document management requirements.
- Resolves document control issues and conflicts.
- Archives and disposing of outdated documents.
- Manages and maintains updated documentation throughout the work processes and project life cycle based on the company’s policies and procedures
- Secures the management of original documentation and arranges duplication and printing for distribution based on the distribution list under the direction of direct supervisor
- Monitors the movement of documentation based on tracking log, files and organises all the documentation for safe-keeping, storage and archiving based on the operating policies and procedures
- Produces reports and statistical figures to indicate the status of work progress and updates the spreadsheets into the computer dossier based on the obtained information
- Compiles, organises and updates records into the computer system on a routine basis to ensure accurate data is available for use when required by relevant personnel/department
Job Requirements:
- GCE ‘A’/’O’ Level/ Nitec/ Higher Nitec/ Diploma
- Minimum 3 years of relevant experience as document controller in oil & gas or similar industry
- Good working knowledge of MS Office, Excel and Power Point
- Adequate skill in written and spoken English
- Positive working attitude
- Merticulous
- Good team player and able to work independently
- Good communication and interpersonal skill
- Able to work overtime at times
