The incumbent will be based in one of the Public Health Institutions.
Key Responsibilities:
- Quarterly CSA Management: Conduct Control Self-Assessments on a quarterly basis to ensure ongoing compliance and efficiency.
- Methodology Development: Create and implement CSA methodologies and procedures tailored for hospital logistics.
- Regular Evaluations: Assess logistics processes (e.g., Receiving Activities, Orders Processing, Supplies Delivery) to identify risks and inefficiencies.
- Cross-Functional Collaboration: Work with procurement, inventory management, and distribution teams to gather insights for self-assessment.
- Root Cause Analysis: Analyze assessment findings to identify root causes and propose actionable recommendations for improvement.
- Action Plan Implementation: Design and execute action plans to address identified weaknesses in logistics controls.
- Monitoring Effectiveness: Track the implementation of mitigation steps to ensure they are effective and sustainable.
- Staff Training: Provide guidance and training on CSA principles and best practices to relevant staff.
- Reporting to Management: Prepare and present regular reports on CSA cycles, including methodologies, findings, and mitigation steps to senior management.
- Subject Matter Expertise: Act as a CSA expert during internal and external audits, and review AGO reports related to procurement and logistics risks.
Additional Activities:
- Participate in brainstorming sessions to streamline logistics processes and optimize workflows.
- Design educational materials (EDMs) on selected logistics topics for user training.
Requirements:
- Bachelor's Degree in Business, Supply Chain management or Logistics
- Experience in supply chain operations, warehouse/store operations and WMS will be an advantage
- Strong analytical skills in gathering and interpreting data, identify trends and develop
- Strong organizational skills to manage tasks and prioritize work
- Effective written and verbal communication skills for clear and crisp interactions with teammates and stakeholders
- Proficiency in Excel including data management, formulas and functions, charts and graphs, pivot tables, data analysis etc
