Responsibilities:
Administrative Support:
- Maintain accurate records of warehouse inventory, orders, deliveries, and shipments.
- Prepare and process orders, shipping documentation, invoices, and other related paperwork.
- Schedule and track inbound and outbound shipments and deliveries.
- Handle email correspondence and phone calls with suppliers, vendors, and customers.
Inventory Management:
- Oversee the accurate input of inventory data into the warehouse management system (WMS).
- Track inventory levels and conduct regular cycle counts to ensure stock accuracy.
- Assist in identifying and addressing discrepancies in stock levels, shipping, and deliveries.
- Support inventory control policies and procedures to minimize losses and improve accuracy.
Coordination & Communication:
- Liaise with warehouse staff to ensure proper stock handling and product movement.
- Communicate effectively with the procurement, operations, and sales teams to resolve issues related to inventory, shipments, and stock availability.
- Ensure timely coordination between departments for smooth warehouse operations.
Data Entry & Reporting:
- Maintain records of all warehouse transactions, including stock in/out and damages.
- Generate daily, weekly, and monthly reports on inventory, order status, and delivery metrics.
- Provide administrative support for warehouse audits and inspections.
Compliance & Safety:
- Ensure compliance with warehouse safety protocols and company policies.
- Keep accurate records for health, safety, and maintenance checks.
- Assist in ensuring that all shipments comply with regulatory requirements, including customs documentation if applicable.
Other Duties:
- Assist the Warehouse Manager in day-to-day operations as needed.
- Provide support during warehouse projects, reorganizations, and peak periods.
- Monitor and manage office supplies for the warehouse administration team.
Requirements:
- Min. Degree in Logistics, Supply Chain Management
- Min. 5 years of experience in warehouse administration, logistics in 3PL or grocery/foods companies
- Proficiency in Microsoft Office (Excel, Word, etc.).
- Experience with warehouse management systems (WMS) or ERP software.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Ability to multi-task and manage time effectively in a fast-paced environment.
- Problem-solving skills and proactive attitude.
- Able to do rotating shifts if required (due to th demand of each project)
