We are seeking an exceptional Executive Personal Assistant (PA/EA) to provide comprehensive support to our C-level executives based in Singapore. What You’ll Do
- Calendar Management: Oversee the day-to-day calendar of executives, including organizing meetings and managing schedules with precision.
- Travel Coordination: Provide travel support, including visa applications, flight reservations, and hotel bookings.
- Meeting Preparation: Schedule and coordinate appointments for the leadership team, assist in all meeting preparations, and set up conference calls across different time zones.
- Expense Management: Prepare expense reports, auditing against travel schedules and monthly credit card statements.
- Stakeholder Communication: Work closely with executives to keep them informed of upcoming commitments and responsibilities, following up as necessary.
- Deliverables Support: Complete critical tasks such as drafting acknowledgment letters and personal correspondence that enable senior leaders to effectively lead the company.
- Presentation Preparation: Create impactful PowerPoint presentations for business stakeholders, ensuring clarity and engagement in communication materials.
- Project Coordination: Provide support for pitches and other business initiatives, coordinating efforts across offices and liaising with the APAC team.
- Ad-Hoc Tasks: Assist with various ad-hoc tasks as assigned.
Who You Are
- Experience: You have 3-5 years of experience supporting executive-level teams, preferably in an agency environment.
- Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential for creating presentations and managing documents effectively.
- Organizational Skills: Highly organized and adaptable; you can handle stress and ambiguity with grace.
- Problem-Solving Ability: Demonstrated capability to resolve issues effectively while maintaining a proactive approach.
- Interpersonal Skills: A team player with strong collaboration skills who communicates excellently in both verbal and written English.
