Executive Assistant (Engineering/Construction)

The Executive Assistant will provide comprehensive support to the Senior Management while also overseeing office management, corporate event planning, and secretarial duties. The ideal candidate will have strong organizational, leadership, and multitasking skills to manage multiple responsibilities efficiently.

Key Responsibilities:

Executive Support:

  • Provide high-level administrative assistance to the senior stakeholders including managing calendars, scheduling meetings, preparing reports, and handling confidential information.
  • Organize and prepare materials for executive meetings, including agendas, minute-taking, and follow-up on action items.
  • Coordinate travel itineraries and event schedules for the senior management.
  • Organize corporate travel arrangements, including flights, accommodations, and itineraries.
  • Act as a primary point of contact between the executives and both internal teams and external stakeholders.

Project Administration Management:

  • Lead and manage a team of project administrators to ensure efficient project operations, including overseeing timelines, documentation, and coordination between departments.
  • Oversee project workflows and ensure administrative support aligns with project goals and deadlines.

Office Management:

  • Oversee day-to-day office operations, ensuring a smooth, productive working environment.
  • Manage office supplies, vendor relationships, and general office maintenance to ensure facilities are in optimal condition.
  • Ensure compliance with company policies and health & safety regulations.
  • Plan and execute corporate events such as company meetings, team-building activities, and industry-related events.
  • Other adhoc duties assigned by the management.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  • Minimum 8 years of experience as an Executive Assistant, with experience in office management and corporate events.
  • Prior experience managing administrative or project support staff in the construction, design, or engineering industry is a plus.
  • Strong organizational, time management, and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Excellent verbal and written communication skills.
  • Flexible, adaptable, and able to juggle multiple priorities with efficiency.
