My client, a single-family office, is seeking a house manager based in Singapore. The single-family office is heavily involved in education, philanthropy, nature conservation, healthcare, scientific research, and other causes.
Position Overview
The house manager will work closely with the family to establish their specific needs and requirements. The candidate will play a vital and hands-on role in overseeing the day-to-day operations, managing full-time and part-time staff, maintaining security, and ensuring the smooth running of the household.
Role & Responsibilities
Household management & organization
- developing and implementing good working systems and schedules to ensure the smooth, day-to-day functioning of the household
- creating cleaning and maintenance routines
- managing and organizing household documents and records
- managing household inventories and supplies, ensuring the home is well-stocked and organized
- manage a busy schedule of two children (ages 12 and 17), ensure everyone knows where they are going on a day-to-day basis, note special occasions for school, sports etc
- attending to visitors staying at the residence, planning meals per their dietary requirements/restrictions
- handling mail collection, receiving parcels, handling special requests, errands, and related duties
- oversee daily meal service and assist with grocery lists
- maintain inventory, insurance, and safe storage/cleaning for luxury items (art, jewelry, apparel, handbags, and collections)
- pets management – food, health, grooming, day-care, walks
Staff management
- hiring, training, supervising, and managing the performance of domestic helpers to ensure that they perform their duties efficiently, maintain high standards of service, and adhere to household policies and procedures
- oversee part-time contractors and vendors
Household maintenance and repair
- ensuring that all household systems (security, lighting, air-conditioning, home appliances) are functioning efficiently
- overseeing cleaning and maintenance schedules, managing repairs and renovations, coordinating with contractors and service providers, and maintaining inventories of household supplies and equipment
Budgeting and financial management
- managing household budgets and finances
- oversee payment of bills, manage expense tracking, create budgets for household operations, handle financial transactions related to household purchases and services
- working closely with accountants and/or the Executive Assistant to the employer to ensure proper financial management
Event planning
- working closely with the employer and/or Executive Assistant in planning and execution of family gatherings, events, and special occasions hosted by the employer
- coordinating logistics, catering/temporary staff, menu planning, managing contractors and services and overseeing guest lists and arrangements, floral arrangements, and overseeing event logistics
Household security
- responsible for maintaining the security of the household and its occupants
- overseeing the installation and maintenance of security systems, managing access controls, coordinating with security personnel, and implementing emergency response protocols
Confidentiality and discretion
- must maintain strict confidentiality and exercise discretion when dealing with personal matters, financial information, and any other confidential or private affairs of the household
Personal assistance
- assist the household members, such as running errands, organizing personal belongings
Requirements
- minimum of 8 years of relevant experience working in private homes or being an airline crew supervisor
- outstanding references from both current and previous employers
- pleasant personality and service-oriented
- fluent in English with good oral and written communication skills
- understands that the utmost confidentiality and discretion is required
- superior process, project, and time-management skills
- low key, meticulous, personable and a self-starter
- must have excellent interpersonal skills
- must be comfortable working in an environment with children and pets
- 5-day work week, must be flexible in scheduling with availability to work on Saturdays and overtime
Candidates with prior Singapore Airlines experience is highly preferred.
