Location : Upper Changi North


Position : Assistant Executive (Personnel Registry Proj) – 1 pax


Contract period : Immediate - 12mths


Min qualification : GCE O Level/ A Level/ Diploma from local polytechnics. Salary ranges from $1,800 - $2,700 per month depending on qualification and relevant working experience.


Skills needed:

• Possess good IT knowledge and office application software such as Access, Excel and Word is preferred.

• Be physically and medically fit as he/she is required to pack and move the physical P-files which are heavy and could be dusty.

• Ability to work independently and multi-task.

• Ability to think logically for documents assessment and categorisation.

• Ability to communicate well and demonstrate self-initiative in planning and organising.


Job Scope:

Maintenance of P-file Registry

• Verify that all the documents in each P-file are digitised and uploaded into the electronic P-file system and updated in iGEMS

• Liaise with VITAL on despatch services of P-files (Incoming & Outgoing)

• Reviewing documents to be filed into Transferable and Non-Transferable folders

• Handle handing over and taking over P-files of Transfer & Posting cases

• Movement & Filing of P-files at Personnel Registry

• Sorting & Archiving of Inactive P-files

• Maintain and update P-Files tracking database

• General maintenance of Personnel Registry Room

Administrative support for the various National, Ministry and Departmental level awards processed by WPB

• Work with the various organising committees (internal and external) on the list of recipients and their details for the different ceremonies.

• Collate and send reminders to recipients to RSVP their attendance to ceremonies.

• Checking of recipients details to be engraved on medals.

• Collation of purchase of tokens – national day scarves and neckties for National Day Award recipients, and payments to HRSC.

• Collection and distribution of medals for those who did not attend the ceremony

• Work with CCSD to surface suitable recipients to be featured in media profiles, and coordinate photo shoots/video taking etc with CCSD, units and organising committees.

• Prepare broadcast and eDMs to be sent to SPS-All to celebrate officers’ achievements.
