Our Client is a Singapore-based investment holding firm with a diverse portfolio, primarily focused on property development, property investment, and hospitality. Property Management:
- Support the Building Manager in ensuring the building is managed efficiently within cost, time constraints, and quality standards set by the company.
Building & Facilities Preventive & Corrective Maintenance Policy:
- Assist in developing and implementing total preventive maintenance policies.
- Plan, coordinate, and liaise with contractors to implement planned preventive and improvement programs for mechanical & electrical (M&E) installations.
- Develop and execute strategic facilities and maintenance management plans.
- Implement a system to monitor tenants' M&E installations to prevent accidents and damage to building services.
Maintenance Management (Building & Facilities):
- Address complaints from owners/tenants and perform minor repairs.
- Liaise with vendors for the procurement of spare parts and equipment.
- Coordinate with contractors for repair, replacement, and renovation work.
Regulations Compliance:
- Ensure compliance with all relevant environmental and safety regulations.
- Maintain validity and currency of all building licenses and statutory requirements.
Health & Safety:
- Address health, safety, and security issues promptly.
- Develop and implement fire safety policies and procedures.
- Coordinate with Professional Engineers (PE) for annual fire certificate inspections and testing.
- Conduct two annual fire evacuation drills.
- Inspect tenant fit-out works and ensure compliance with fire safety regulations.
- Perform regular checks to ensure the building is fire safe and that all fire safety services are properly maintained.
Contracts Management:
- Analyze tenders and quotations, and recommend contractor appointments for approval.
- Monitor contractor performance to ensure compliance with cost and quality standards.
- Manage the service levels of security and cleaning service agencies.
Customer Service:
- Respond promptly to tenant inquiries.
- Ensure the maintenance team takes swift action to provide repairs and updates to tenants.
Energy Conservation:
- Assist in developing and implementing energy conservation strategies to enhance building efficiency.
Management Reports:
- Assist in preparing monthly management reports.
Cost Control:
- Help prepare the annual operations and capital budget.
- Review and monitor operational costs, recommending cost-saving measures.
- Ensure cost control functions are carried out effectively and that works are completed satisfactorily within budget.
Staff Management:
- Assist in training, motivating, and developing a strong maintenance team.
- Set individual and team targets, driving the team to achieve goals.
- Provide leadership and management control over the execution of agreed-upon strategies and plans.
Carpark Management:
- Assist in managing the maintenance and operations of the car park.
- Collaborate with vendors to optimize the car park system and minimize stalls.
- Explore and implement improvements to enhance car park operations.
Requirements:
- Diploma in Facilities Management / Property Management experience
- Strong communication skills
- Proficient in Microsoft applications (Words, Excel, PowerPoint)
- Experience managing Mixed Development property (Consist of Retail/F&B and Office)
- Open to Facilities Officer who looking for career progression
