Operations and Facilities Coordinator

Position Summary

The Operations and Facilities Coordinator will assist the M&E Facility Executive in coordinating operations and maintenance activities, including retrofitting works in the office and GMP facility, to ensure clean, safe, and functional environments. You may be tasked with performing risk assessments to ensure compliance with Workplace Safety and Health (WSH) practices. You will communicate with relevant personnel in response to requests and feedback from facility users. Additionally, you will liaise with third-party service providers to ensure that repair and maintenance works are carried out in a timely manner and comply with quality and safety standards.


You should be a good communicator, people-oriented, and service-focused. You will work at designated properties during business hours but may be required to be on-call after office hours in case of emergencies. You will assist with maintenance activities associated with plant turnaround and may specialize in electrical, rotating, static, or instrumentation and control-related maintenance work. This position adheres to safe system of work (SSoW) procedures and applies risk control measures to ensure that work activities are carried out safely and in compliance with relevant regulations.


Additionally, about 30% of your role will involve supporting the Supply Chain, particularly in warehouse operations, to enhance productivity and efficiency within the team.


Essential Job Functions

  • Facilities Support
  1. Possess at least a Diploma in Engineering or equivalent.
  2. More than 3 years’ experience in a Bio-Lifesciences environment. Candidates with MNC or GMP experience will have an advantage.
  3. Working understanding of Lab/GMP operations, Quality Assurance, Quality Control, Supply Chain, and related functions.
  4. Applicants with knowledge in vendor management will have an advantage.
  5. Position and title will be accorded per work or industry experience of the candidate.
  6. Self-starter, self-motivated - effective as an individual contributor and team player with other functions.
  7. Ability to communicate technical knowledge clearly and understandably.
  8. Able to interpret control schematics and perform troubleshooting and hands-on minor repairs/maintenance.
  9. Hands-on experience with facility and utility systems (process gas/purified water/ACMV/HVAC) and laboratory equipment/instruments will be preferred.
  10. Candidate who is bilingual in spoken English and Chinese will have an advantage for role involving technical knowledge transfer and collaboration between China and Singapore.
  • Warehouse support
  1. Inventory Management: Oversee inventory control by tracking stock levels, ensuring accurate records, and managing stock replenishment to meet operational demands.
  2. Order Processing: Coordinate the receipt, storage, and dispatch of goods, ensuring timely and accurate order fulfillment.
  3. Warehouse Equipment Maintenance: Ensure the proper functioning and maintenance of warehouse equipment, such as forklifts, conveyors, and air conditioning units.
  4. Compliance and Safety: Ensure compliance with safety regulations, including conducting regular safety inspections and adhering to cGMP and workplace safety standards.
  5. Supplier Coordination: Work with suppliers to ensure timely delivery of goods and services, addressing any discrepancies or delays in the supply chain.
  6. Documentation and Reporting: Maintain accurate records of warehouse activities, including deliveries, stock levels, and equipment maintenance, while preparing necessary reports for management

Requirements

  • Education: Possess at least a Diploma in Engineering or equivalent.
  • Experience: More than 3 years of experience in a Bio-Lifesciences environment; candidates with MNC or GMP experience will have an advantage.
  • Operational Knowledge: Working understanding of Lab/GMP operations, Quality Assurance, Quality Control, Supply Chain, and related functions.
  • Vendor Management: Knowledge in vendor management will be considered an advantage.
  • Position Title: Position and title will be accorded based on the candidate’s work or industry experience.
  • Personal Attributes: Self-starter and self-motivated; effective as both an individual contributor and team player across functions.
  • Communication Skills: Ability to communicate technical knowledge clearly and understandably.
  • Technical Expertise: Hands-on experience with facility and utility systems (process gas, purified water, ACMV, HVAC) and laboratory equipment/instruments is preferred.
  • Warehouse Operations: Proven experience in handling inventory management, stock control, and order processing within a warehouse or logistics environment.
  • Equipment Handling Skills: Experience with warehouse equipment such as forklifts, conveyors, and inventory tracking systems, along with basic equipment maintenance knowledge.

Tai Seng (near Tai Seng MRT station)


Working Days and Hours

Mon-Fri; 9am to 6pm
