Receptionist and Administrative Support Officer

Location: Northbrooks Secondary School, 585 Yishun Ring Road, Singapore 768692
Contract Duration: 1 January 2025 to 31 December 2025

Working Hours:

  • Monday to Thursday: 8:00 AM to 5:00 PM (inclusive of a 30-minute lunch break).
  • Friday: 8:00 AM to 4:30 PM (inclusive of a 30-minute lunch break).
  • No work required on Saturdays, Sundays, or public holidays.

Key Responsibilities:

Front Desk Reception:

  • Manage incoming telephone calls and respond to walk-in inquiries from students, parents, and visitors in a professional and friendly manner.

Mail and Email Management:

  • Handle and distribute incoming and outgoing mail and emails to the appropriate staff or departments.

Administrative Support:

  • Perform data entry, data collation, and general administrative tasks such as goods receiving and printing of certificates.
  • Assist with filing documents and organizing school records.
    Sort and distribute materials to teachers and students as required.

Student Support:

  • Attend to students who are unwell, late for school, or require early dismissal.
  • Administer basic first aid to students when necessary.

Financial Assistance Scheme (FAS) and Bursary Applications:

  • Receive and verify the necessary documents for Financial
  • Assistance Scheme and Bursary applications.

Event Support:

  • Provide manpower support during ad-hoc school activities and events.

Other Administrative Tasks:

  • Carry out additional administrative duties assigned by School Leaders and the Administration Manager.

Qualifications and Skills:

Minimum Education:

  • GCE ‘O’ Level or relevant Office Skills Certificate or its equivalent.

Experience:

  • Preferably with relevant experience in a secondary school environment or in a similar customer service and administrative support role.

Skills:

  • Excellent customer service skills with strong interpersonal and communication abilities.
  • Proficient in Microsoft Office applications (Excel, Word) and comfortable using IT systems.
  • Ability to manage multiple tasks efficiently and remain calm under pressure.
  • A keen eye for detail and a proactive attitude.

Eligibility:

  • The contract staff must be a Singapore Citizen or Permanent Resident.
