Executive Assistant (Central | 5 Days | Immediate Joiner)

Contract Duration: 6 months (Maternity Cover)


Job Responsibilities:

  • Optimize the CDO’s calendar for efficient time management.
  • Arrange business travel and meetings, following safety guidelines.
  • Manage work-related documents for the CDO, including endorsements and filings.
  • Handle travel-related documents and business registration paperwork.
  • Organize business lunches, dinners, and offsite meetings with associates.
  • Arrange travel and accommodations.
  • Greet and direct guests of officers, ensuring they feel welcomed and guided.
  • Assist overseas guests with logistics, accommodations, and meeting schedules.
  • Manage the CDO’s incoming and outgoing documents effectively.
  • Ensure the corporate driver and vehicle are available as needed.
  • Support the CFO/CSO and CEO’s secretary during their absence or when additional help is needed.
  • Provide secretarial support for officers requiring Japanese communication.
  • Handle confidential documents securely.
  • Perform other ad-hoc duties as assigned.
  • Manage documents, ensuring orderly filing of physical documents and archiving of digital copies.
  • Book shared resources such as meeting rooms and company cars for meetings.
  • Submit IT workflow requests, order name cards for newcomers, and handle system support requests.
  • Perform other miscellaneous administrative tasks and ad-hoc duties related to Corporate Development.

Job Requirements:

  • Bachelor’s degree in Business Administration or a related field.
  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and manage multiple tasks simultaneously.
  • High level of discretion and confidentiality.
  • Proficiency in Japanese for translation work from Japanese to English and vice versa.
