Job description:

  1. Provide comprehensive administrative support to the HR and Engineering teams to ensure smooth daily operations.
  2. Manage incoming communications, including phone calls, emails, and other correspondence, ensuring they are promptly directed to the appropriate departments or personnel.
  3. Assist in scheduling meetings, managing calendars, and organizing travel arrangements for staff, ensuring efficient coordination across teams.
  4. Maintain and update filing systems, both physical and digital, ensuring that all company data, including reports, logs, and personnel records, are accurately recorded, stored, and easily accessible when needed.
  5. Monitor and track inventory of office supplies, coordinating with relevant departments to ensure stock levels are maintained and reorders are placed as required.
  6. Support documentation related to engineering and production, including the preparation, filing, and management of production logs, safety records, and reports related to ongoing projects.
  7. Assist with procurement processes, working closely with suppliers and vendors to obtain quotes, place orders, and follow up on deliveries, ensuring timely receipt of materials for office and production needs.
  8. Collaborate with the engineering team to streamline workflows between office and production departments, ensuring efficient communication and task management across teams.
  9. Perform general administrative duties, such as data entry and the management of company records.
  10. Support compliance efforts, ensuring all documentation related to safety protocols, permits, and industry regulations is properly managed and up to date.
  11. Perform other ad hoc tasks as requested by management to support business operations.

Qualifications:

  • Minimum O level or equivalent
  • Minimum 2-3 years of experience in an administrative role, preferably within the construction industry.
  • Experience with procurement and accounts support is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc,)
  • Ability to work independently as well as in a team environment.
  • Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
