Job Description
- To support Japanese expatriates with their smooth relocation process including visa support, setting up bank accounts, housing/service apartments etc.
- Conduct onboarding and offboarding orientation.
- Support Japanese expatriates with their employee benefits arrangements such as children education allowances, medical expenses, housing allowance and memberships etc.
- Arrange billing with Tokyo HQ including JAS fees, trainee fees etc.
- Manage golf sets and corporate golf memberships maintenance including application, transfers and cancellation for subsidiary companies.
- Update and maintain HR-related data such as headcounts report, mailing list, organization charts, contact lists etc.
- Research and report on housing rental trends for negotiation of allowances review with Tokyo HQ.
- Maintain relationships and negotiate corporate rates with service apartment vendors.
- To support VIP visits, organize meetings and gatherings for Japanese expatriates.
- Organize crisis management simulations exercise including for subsidiary companies.
- Manage the documentations for corporate ACRA filing and update.
- Stand-in as Personal Assistant for General Manager (GM)/Acting GM in case of secretary absence.
- Any other ad-hoc administrative tasks to be assigned.
Job Requirements
- Minimum Bachelor’s Degree in Business Administration or equivalent
- High proficiency in English language and Japanese language (JLPT Level N1 or ability to speak, read and write at business level) to communicate effectively through phone calls, emails and/or meetings with Tokyo HQ, as well as both local and expatriate staff in the branch offices and subsidiary companies.
- Attention to details, strong communicator, proactive interaction with the team and cross-department to enable smooth and efficient operation of daily tasks
- Proficient in MS Office applications and accounting systems such as SAP preferred
- More than 3 years’ experience in above mentioned requirements preferred
