AO Psychology is a holistic mental wellness psychology practice that integrates psychology, yoga, and holistic nutrition to provide comprehensive care for the mind, body, and emotions. Our services cater to individuals and corporate clients, and we aim to redefine mental wellness through a multi-disciplinary approach. In addition to these core services, we offer therapy room booking services, providing external therapists with access to fully equipped, professional spaces for hourly or monthly bookings.
Position Overview
We are looking for an organized, professional, and compassionate Clinic Manager/Receptionist to be the welcoming face and operational support for AO Psychology’s practice. This role is crucial in ensuring a smooth client experience, from scheduling appointments to managing clinic operations. The ideal candidate will have excellent interpersonal skills, a high level of organization, and experience managing the administrative needs of a psychology or wellness practice.
Key Responsibilities
Client Management & Reception Duties
- Greet clients warmly, ensuring they feel comfortable and supported upon arrival.
- Manage appointment bookings, cancellations, and rescheduling through phone, email, and online platforms.
- Answer phone calls, emails, and client inquiries, providing relevant information and directing to appropriate services.
- Maintain patient confidentiality and manage sensitive client information with discretion and care.
- Assist clients with any paperwork or forms needed before their sessions.
- Coordinate with therapists, nutritionists, and yoga instructors to ensure seamless scheduling across services.
Administrative & Clinic Operations
- Oversee the day-to-day running of the clinic, ensuring that all services operate efficiently.
- Manage the clinic’s appointment calendar and ensure accurate scheduling across psychology, yoga, holistic nutrition, and therapy room bookings.
- Process client payments, issue invoices, and maintain accurate financial records.
- Monitor office supplies, therapy materials, and ensure the clinic space is clean, organized, and welcoming.
- Track and order necessary inventory for clinic operations, such as office supplies and wellness materials.
- Ensure all rooms, including therapy spaces and common areas, are well-maintained and meet hygiene standards.
Therapy Room Booking Services
- Manage the scheduling and booking process for external therapists using AO Psychology’s therapy rooms.
- Ensure rooms are properly prepared and equipped for use by external therapists, including managing check-ins and check-outs.
- Assist external therapists with any inquiries or requests regarding room bookings and clinic amenities.
- Maintain accurate records of room usage and billing for external therapists.
Support to Practitioners
- Coordinate with psychologists, therapists, and other wellness providers to ensure they are informed of their daily schedules and any client updates.
- Assist in managing the flow of clients in the clinic, ensuring practitioners have adequate time between sessions.
- Support external therapists renting therapy rooms, ensuring they have access to necessary resources and a smooth experience.
Patient Records & Data Management
- Maintain accurate and up-to-date client files, ensuring that client information is securely stored in compliance with healthcare regulations.
- Handle clinic documentation, including client intake forms, consent forms, and follow-up notes, ensuring proper filing and record-keeping.
- Use practice management software to input client data, schedule appointments, and track attendance.
Marketing & Communications Support
- Assist in communicating upcoming workshops, seminars, or special events to clients.
- Help maintain AO Psychology’s social media presence by managing front-desk social engagement and sharing clinic updates with clients.
- Manage communications for feedback surveys and follow-up emails to enhance client satisfaction.
Qualifications
- Diploma in Business Administration or related fields
- Previous experience as a receptionist or clinic manager in a psychology or wellness setting is highly preferred.
- Excellent organizational and time management skills, with the ability to multi-task in a fast-paced environment.
- Strong communication skills, both written and verbal, and the ability to interact with clients with empathy and professionalism.
- Ability to handle confidential information with discretion and professionalism.
- Customer-service oriented, with a calm and friendly demeanor.
- High attention to detail and accuracy in handling administrative tasks.
Preferred Skills
- Experience with Plato scheduling software, Microsoft Office Suite, and basic bookkeeping.
- Experience in managing social media or helping with light marketing duties.
- Knowledge of psychology, mental health, or wellness services is a plus.
