Position Title: Administrative Assistant
Reports to: Office Manager/Supervisor

Job Overview:The Administrative Assistant provides administrative support to ensure efficient operation of the office. This role includes a variety of administrative tasks, ranging from managing schedules and communications to organizing documents and handling basic office duties. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Clerical Support:Answer and direct phone calls, take messages, and field inquiries.
Greet visitors, clients, and staff in a professional and friendly manner.
Handle incoming and outgoing mail, courier services, and deliveries.
- Scheduling & Calendar Management:Manage and maintain executives’ schedules, including setting up meetings and appointments.
Coordinate and schedule meetings, including preparing meeting materials, taking minutes, and distributing meeting agendas and notes.
- Document Management:Organize and maintain electronic and paper files, ensuring documents are easily accessible.
Prepare reports, presentations, memos, and other correspondence as needed.
Manage databases and maintain accurate records for the organization.
- Office Support:Ensure office supplies are stocked, and manage inventory.
Coordinate office repairs, maintenance, and cleaning services.
Assist in organizing company events, conferences, and travel arrangements.
- Data Entry & Reporting:Perform accurate data entry for various reports and databases.
Prepare and compile reports as requested by management.
- Communication:Serve as a liaison between staff and clients, providing clear communication and timely responses.
Draft and proofread emails, letters, and other correspondence.
- Other Duties:Assist in preparing expense reports and invoices.
Support the management team with various projects and administrative tasks.
Carry out any other administrative duties as assigned.
Requirements:
- Education: High school diploma or equivalent; an associate’s or bachelor’s degree is a plus.
- Experience: Prior experience in an administrative role preferred.
- Skills:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Attention to detail and problem-solving skills.
Ability to work independently and within a team.
Work Environment:
- The position operates in an office environment and may occasionally require light lifting (up to 15 pounds).
