The Senior Accounts Executive plays a key role in ensuring that accounts of the Rainbow Centre are maintained in accordance to its constitutions and established policies and procedures.
The incumbent is responsible for updating the accounting system with details of all financial transactions, monthly management reporting and ensuring that monthly finance schedules are completed on time. All these to be done in collaboration with various stakeholders and as directed by his/her Reporting Officer
Key Result Areas
Financial Management and Reporting
- Manage the accounting functions for the assigned schools, programmes and/or units which includes primarily the General Ledger (GL) management, and as it may, the accounts payable, accounts receivables, cash management, fixed asset management, and any other accounting related functions as required.
- Ensure all monthly close timetables and deliverables are met in accordance with Management instructions, including all fund reporting requirements as set out by the funders.
- Preparation of monthly schedules for reconciliation purposes and up-keeping of monthly cash flow forecast.
- Provide support in preparation of monthly management reports and variance analysis.
Financial Administration
- Ensure all banking transactions are updated and recorded accurately and in a timely manner.
- Provide back-up support for Accounts Payable and/or Accounts Receivable functions and guidance to the respective teams where required.
Budget and Financial Analysis
- Assist in the formulation and preparation of annual budget and forecast.
Internal Controls
- Facilitate the internal or external audits, and liaise with the other stakeholders in the planning and coordination of any of these audits. This includes any audit certifications/AUPS engagements as required by the funders under funding requirements.
- Assist in the monthly financial closing process (review, upload and post monthly journals) of other schools/units/programmes as required.
- Keep abreast with knowledge of funding requirements related to financial matters and ensure compliance with tax regulations and other regulatory requirements.
- Perform regular checks of the accounting activities of the assigned schools, units and/or programmes, which include monthly reviews of financial transactions to check for appropriate documentation, correct account assignment and approvals
- Ensure that adequate internal controls are in place, closely monitor all financial activities and keep the superior advised of all situations which have the potential for a negative impact on internal controls or financial performance.
- Ensure appropriate control and security of all cash resources at all times.
Team Collaboration and Administration
- Assist and support the financial accounting team when needed.
- Assist in taking appropriate action with departments concerned to address audit findings and recommendations, follow through on action plan commitments.
- Ensure protection and maintenance of assets through the enforcement of internal control policies and procedures.
Job Holder Requirements
- Min Diploma in Accountancy
- At least 5 years relevant working experience or more in a similar role
- Proficient in MS Office (especially Microsoft Excel)
- Good oral, written and interpersonal communication skills in working with individuals and groups at all levels.
- Ability to assimilate and analyse information quickly and accurately.
