WTT EVENT SERVICES COORDINATOR
World Table Tennis (WTT) is a commercial entity created by the ITTF to grow the professionalisation of table tennis by running ITTF’s commercial and events business. Taking a new, innovative and entrepreneurial approach to how table tennis should manage its competition platform and positioning, WTT has been tasked with re-imagining a new professional event structure, re-energising the entertainment and fan experience, and re-defining the new era.
WTT is seeking a detailed individual who is meticulous and will be responsible for coordination of event services at WTT events. This role provides a great opportunity for a young professional looking to establish a career working in sport.
RESPONSIBILITIES:
- Coordinate accommodation and travel data for all WTT Event participants from the Online Entry System (OES) generating relevant reports for communication to stakeholders
- Maintain and communicate up-to-date records of participants’ arrivals, departures and accommodation details tracking all relevant information
- Review and finalise accurate post-event data reports to the Event Organizer (EO) and relevant WTT departments
- Verify post-event prize money workbooks in cooperation with the WTT Finance Department
- Manage and monitor key email inboxes, with timely responses, provided for enquiries and follow-up with the relevant stakeholders as required
- Identify and review the processes and procedures for feedback and improvements including the OES
- Travel to Events as required to provide event operations and experience, event services, and/or player relations tasks
- Liaise with Event Organizers and/or other stakeholders (players, member associations, coaches) regarding Event hospitality.
- The Event Services Coordinator will also assist the Events Team, as required, with the below tasks:
- Support the production and communication of Entry Lists for all WTT Series & Feeder Events.
- Coordination of Player Entries, Withdrawals, Host Wildcards and WTT Nominations through the OES.
- Coordination of Players’ fines in cooperation with the WTT Finance Department.
- Creation of WTT Series & Feeder Series events in the Admin Portal.
- Update WTT documents, procedures and processes in relation to Event Services.
- Coordinate and prepare relevant event specific documents
- Assist with data processing.
- Coordinate research and reports for projects related to Event Services.
- Working cross-functionally with other WTT Departments providing operations or administrative support at WTT Events.
- Work closely and report to the Event Services Senior Manager and supervised by the Event Services Manager.
- Assist the WTT Events executive team (Chief Events Officer, Event Series Director, Event & Experience Director, Head of Player Relations) as required.
REQUIREMENTS:
Essential:
- Diploma or degree in Sport, Information Technology or Administrative Services desirable. One (1) year relevant experience will be considered a plus.
- Proficient with Microsoft Office.
- Strong IT literacy and business acumen.
- Excellent written and verbal communication skills.
- High accuracy, attention to detail and ability to prioritize tasks.
- Ability to work collaboratively across the Events team and with external stakeholders.
- Ability to work under pressure and tight timelines.
- Proactive and keen to learn.
- Varied work hours may apply when required, dependent on the Event needs.
Desirable:
- Passion for sport and business.
- Ability to work in multiple languages, with English required and a preference in Southeast Asian Languages.
