Responsibilities:
- Perform purchasing duties for spare parts and supplies for vessels.
- Administer the supply chain process by handling approved Requisitions, sending Requests for Quote (RFP), processing approved bids into Purchase Orders, and matching delivery receipts to Invoices.
- Process new vendor applications, ensure vendor compliance checks, and select vendors for RFQs.
- Maintain vendor performance records and interact with Superintendents and ships to identify and meet requirements, address problem resolution, and accommodate short lead-time orders.
- Schedule, arrange, and follow up on logistics to ensure cost-effective and timely delivery of items on board.
- Monitor schedules of assigned vessels to optimize deliveries on board.
- Process invoices promptly for all materials and supplies purchased.
- Ensure ship staff update the receipt of goods.
- Provide financial reporting information as requested.
- Evaluate bids to ensure competing quotations for comparison.
- Coordinate with the appointed freight forwarder and monitor stock lists regularly.
- Send month-end requisition status/plans to assigned vessels to update supply requirements and determine necessary purchases at the next port of call.
- Perform other duties as assigned.
Requirements:
- 3 years’ experience in a similar role within a Ship Chandler.
- Excellent negotiation skills.
- Strong teamwork and cooperation skills.
- Very good organizational skills.
- Basic understanding of logistics (Air freight/Sea freight/last mile deliveries).
- Fluency in communication is required for worldwide operations.
