About the Company:

Our client is a Swiss pharmaceutical based corporation that provides solutions to address the evolving needs of patients worldwide. Their main discoveries are development, manufacture and marketing of prescription and generic pharmaceutical products and eye care products.

Primary Responsibilities:

In this role, you will be responsible for all or subset of the key responsibilities below:

Document Management of Employee Personnel Files, including:

  • Create Personnel File during on-boarding of a new hire.
  • Archive documents physically in the designated archive room on a weekly basis, ensuring all compliance and audit checkpoints.
  • Collect incoming employee documents from Drop box/Tray and maintain them in Personnel Files.
  • Scan documents following proper naming convention, for electronic archiving or sending to NGSC for further processing.
  • Dispatch documents to any relevant stakeholders (internal/external) for further processing; and
  • Set up Leaver's Personnel File to be transferred to external vendor for physical archiving (if applicable) on a yearly basis.

Invoice Management and Processing, including:

  • Collect all HR Invoices from all respective HR Business Partners.
  • Process them according to local SOP.
  • Verify that invoice costs are valid and charged correctly.
  • Collect all relevant signatures on the invoices.
  • Submit to Finance department following the local protocol for payment.
  • Serve as a point of contact with FRA colleagues in NGSC; and
  • Ensure that invoices are processed by month-end cut-offs.

Purchase Orders and other Procurement-related matters, including:

  • Create Shopping Carts and Purchase Orders for PO-relevant transactions.
  • Post Goods Receipts on SAP system by month-end cut-offs; and
  • Maintain vendor and supplier data in SAP system by updating key information.

Government claims and IR21 submissions (if required) based on claim amounts, personnel and employment details provided by the Company. This includes:

  • Submit claim amounts and details into government agency portals for claims of NS-makeup pay, maternity pay, etc.
  • Adhere strictly to various deadlines for the respective claim submissions.
  • Serve as the first point of contact with MSF and MINDEF in lieu of follow-up enquiries or audits.
  • Monitor the receipt of claim amounts from the government agencies and relay key information to NGSC on a regular basis.
  • Collaborate closely with HROps colleagues in NGSC throughout claim submission process; and
  • Lodgment of completed Form IR21 on behalf of the Company, for non-Singaporean employees ceasing employment or leaving Singapore for more than three months.

Requirements:

  • Diploma or Bachelor’s degree in Business Management or Human Resource or any relevant field
  • Minimum 3 years of applied professional work experience in human resource
