Galaxy Gymnastics is looking for an enthusiastic and organized Sports Administrator to represent our gym with energy and professionalism. As the face of Galaxy Gymnastics, you will be responsible for maintaining excellent relationships with students, parents, and staff, ensuring smooth communication, and contributing to the overall success of the gym. This full-time role involves a minimum of 40 hours per week, including administrative duties, customer service, event coordination, marketing support, and financial responsibilities.
Key Responsibilities:
>>Customer Interaction and Service:
- Greet every customer with enthusiasm and energy, representing the positive image of Galaxy Gymnastics.
- Build and maintain strong relationships with students, parents, and all visitors.
- Communicate proactively, ensuring important notices, messages, and updates are sent out promptly to both customers and staff.
- Provide knowledgeable and engaging descriptions of classes and programs, asking relevant questions to understand customers' needs and recommending suitable options.
- Convert prospective customers into trial class participants and assist in transitioning trial participants into regular students, focusing on retention and customer satisfaction.
>>Administrative and Database Management:
- Efficiently update and maintain student records and the gym’s database, ensuring that trial attendance, makeups, progressions, and other requests or issues are documented and addressed promptly.
- Maintain student attendance and progression records, ensuring accuracy and timely updates.
>>Event Coordination:
- Assist in planning and executing special events, such as holiday camps, competitions, and workshops.
- Handle event registrations, manage logistics, and ensure clear communication with participants and staff.
- Support the management team in organizing all aspects of events to ensure they run smoothly and successfully.
>>Marketing, Sales, and Promotion:
- Contribute to creating and distributing marketing materials, newsletters, and social media content to promote Galaxy Gymnastics.
- Update the gym’s website and social media platforms with current information, ensuring that the latest events, classes, and promotions are visible to current and prospective members.
- Identify opportunities to increase class enrollment and improve retention through promotions, marketing campaigns, and new ideas.
- Support the management team in executing marketing strategies and initiatives to grow student enrollment and overall engagement.
>>Financial Responsibilities:
- Process payments, track invoices, and manage accounts receivable.
- Handle the POS system for customer payments.
- Assist in preparing financial reports and managing petty cash transactions.
- Ensure accurate financial records are maintained and report any discrepancies to management.
>>Facility Management:
- Contribute to maintaining a clean, tidy, and safe gymnastics space by assisting in regular cleaning and organization tasks.
- Ensure that all equipment and spaces are kept in good condition and are safe for students and staff.
>>Team Collaboration:
- Participate in Galaxy Gymnastics meetings, training sessions, and celebrations as required.
- Collaborate with the coaching crew and management to support the gym's goals.
- Assist with other duties or special projects as needed within the given time and quality standards.
Qualifications:
- Strong communication and interpersonal skills with the ability to engage customers and build relationships.
- Experience in an administrative role, preferably in a sports or gymnastics environment.
- Competent in handling point-of-sale (POS) systems, student database management, and using Microsoft Office and Google Workspace (Docs, Sheets, Slides).
- Experience in event coordination and marketing is a plus.
- Experienced in financial management skills, including processing payments and tracking invoices.
- Highly organized and detail-oriented with the ability to manage multiple tasks and prioritize effectively.
- A positive, proactive, and customer-focused attitude.
- Ability to work independently and collaboratively as part of a team.
- Willingness to contribute to maintaining a clean and safe environment.
Working Conditions:
- Full-time, with a minimum of 40 hours per week, including evenings and weekends as needed.
- Based in Singapore at Galaxy Gymnastics' facility.
- Probation period of 3 months with a performance review at the end of the period.
