Reporting To: School Administrative Staff
Job Type: Full-Time, 1-Year Contract (1 Jan 2025 to 31 Dec 2025) with an option to extend for another year.
Contract Duration:
- Base Year: 1 Jan 2025 to 31 Dec 2025
- Option to Extend: 1 Jan 2026 to 31 Dec 2026, subject to the School’s discretion.
Working Hours:
- Mondays to Thursdays: 7:00 am – 4:00 pm (inclusive of a 30-minute lunch break)
- Fridays: 7:00 am – 3:30 pm (inclusive of a 30-minute lunch break)
- No service required on Saturdays, Sundays, and gazetted public holidays
Key Responsibilities:
Administrative Duties:
- Handle incoming phone calls and walk-in inquiries.
- Manage school mail, parcels, and deliveries.
- Prepare and verify documents such as the Staff Monthly Attendance Sheet, and track staff attendance daily.
- Maintain and update data records in school databases.
- Compile statistics as needed for school reports.
- Perform filing, typing, and data entry tasks.
- Draft correspondence as required by school management.
- Attend to students who are unwell.
Other Responsibilities:
- Provide general administrative support to various school departments.
- Carry out any other duties assigned by the school.
Qualifications & Experience:
- Minimum Education:At least a GCE “O” Level qualification.
- Experience:At least 3 years of experience providing administrative support in an office or school environment.
Experience in handling telephone inquiries from Mandarin-speaking parents or vendors is required.
Skills & Competencies:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Basic First Aid knowledge.
- Strong communication and interpersonal skills.
- Good customer service skills, with a pleasant demeanor and professionalism.
- Ability to handle sensitive information with discretion.
- Self-motivated, with a high level of initiative and independence.
- Team-oriented and collaborative approach to work.
