Role Overview:

We are seeking a dedicated Admin Assistant with a focus on contract and legal administration to manage and oversee contract documentation and operational processes, ensuring compliance with our business policies and operational plans. This role includes managing customer contracts, ensuring regulatory compliance, and supporting process improvements within the team.

Key Responsibilities:

  • Contract Oversight: Assist in managing all aspects of contract administration, including account setup, contract activation and termination, and maintaining physical contract documentation.
  • Meter Management: Support meter-related tasks, including setup, activation, deactivation, and removal.
  • Compliance: Ensure adherence to audit requirements, retail policies, and regulatory standards.
  • External Communication: Liaise with external parties such as MSSL and PowerGrid regarding customer-related issues.
  • Database Management: Maintain and update databases, including SAP, customer portals, and department mailboxes.
  • Staff Support: Provide administrative support to junior staff, assisting in training and maintaining operational manuals.
  • Process Administration: Support the implementation of processes in compliance with EMA and MSSL requirements.
  • Process Improvement: Assist in reviewing and streamlining work processes to enhance efficiency.
  • Ad-hoc Projects: Support additional projects as assigned by management.

Requirements:

  • Educational Background: Diploma in any discipline (degree holders are welcome to apply).
  • Experience: Previous experience in contract administration, account management, or customer service roles. Experience handling legal compliance is an advantage.
  • Attention to Detail: Highly reliable, meticulous, and able to ensure accuracy in all documentation and processes.
  • Communication: Strong interpersonal and communication skills, with the ability to liaise with internal teams and external stakeholders.
  • Team Player: Demonstrated ability to work effectively within a team.
  • Problem-Solving: Effective at identifying and resolving issues.
  • Technical Skills: Familiarity with SAP or other database systems is a plus.
