Secretary to Director

Key Responsibilities:

  • Assist Director in day-to-day administration work.
  • Responsible for various HR operations, including preparation of HR letters, processing of work pass, conducting new staff orientation and providing support in HR.
  • Responsible for extensive calendar / diary management, drafting and proofreading of Directors’ emails.
  • Taking minutes, setting up of meeting agenda, and dictations.
  • Organizes foreign travel arrangements, visas, itineraries, travel expense claims and maintenance of all travel records.
  • Responsible for maintaining membership records and ensuring subscriptions and fees are up to date.
  • Maintains and controls confidential files.
  • Responsible for organizing logistics for participation in international conferences.
  • Undertakes specific research projects as directed.
  • Acts as the key point of contact for all matters concerning the Director.
  • Handles miscellaneous errands and administrative tasks.
  • Perform all other duties assigned by the Director.

Qualifications:

  • Minimum 8 years of experience as an Executive Assistant / Secretary to Director
  • Proficient in Microsoft Outlook, Word and Excel.
  • The ability to multitask, prioritize, and thrive in a dynamic environment.
  • A collaborative spirit, capable of working independently as well as part of a team.
  • Exceptional organizational, critical thinking, analytical, and problem-solving skills.
  • Able to start immediately.
