Key Responsibilities
You will handle the administration of lease agreements for the Groups properties and its subsidiaries. This includes ensuring that lease contracts are executed promptly, accurately, and in line with legal requirements, company policies, and regulations. The role requires keen attention to detail, strong communication skills, and a solid grasp of lease agreements and property management.
Job Scope
1. Administrative Functions
Contract Administration
- Assist Leasing Managers by processing and tracking lease documents to ensure they are completed on time.
- Ensure all contractual paperwork is properly completed by working with Leasing Managers, legal advisors, and the Contracts Manager on lease-related issues.
- Prepare lease documents such as amendments, extensions, and renewals.
- Keep accurate records of lease agreements, correspondence, and other related documents.
- Ensure all lease contracts comply with legal standards, company policies, and regulations.
Standard Operating Procedures
- Review, update, and develop new processes and workflows for leasing Standard Operating Procedures (SOPs) as required.
2. Operational Support Functions
- Serve as the primary point of contact for tenants/lessees and the operations team regarding lease-related questions and concerns.
- Perform background checks on potential tenants to evaluate their credit history, ACRA records, business credibility, and criminal background to ensure they meet company standards.
- Monitor lease payments to ensure tenants/lessees are meeting their financial obligations, including payment cycles and GIRO applications.
3. Other Duties
- Support Managers in resolving lease disputes and coordinate with legal and management teams to reach resolutions.
- Stay informed about market practices and trends to maintain competitiveness and enhance negotiation strategies.
- Undertake any additional tasks as assigned by the Company or your reporting superior.
Job Requirements
- Diploma in Marketing, Business Management/Administration/Real Estate, or a related field.
- At least 2 years of relevant experience in a similar position.
- Strong communication and negotiation skills with a personable attitude.
- High attention to detail and expertise in contract management.
- Ability to manage multiple tasks independently with effective time management.
- Skill in identifying contract and business risks.
- Knowledge of the commercial property market, local real estate laws, and regulations is a plus.
- Resilient and capable of working in a fast-paced environment.
- High level of integrity.
