BASIC FUNCTION
Handles telephone enquiries for F&B. Typing and filing of documents. Taking down of all reservations for banquet. Work closely in liaison with Catering Sales Department, Banquet Department and F&B outlets.
Responsible for all secretariat duties for F&B Department, including all administrative duties for Food and Beverage as well as Kitchen Department.
JOB RESPONSIBILITY
1. Receive and handle efficiently all inquiries concerning F&B business
2. Typing and sending out quotations for the Banquet Sales Manager.
3. Attend and take minutes if required for F&B related meetings
4. Typing daily event/weekly list.
5. Filing quotations, correspondences, memos, reports etc.
6. Perform typing activities eg. Monthly statistics, reports and menu etc.
7. Answering telephone enquiries and taking down messages.
8. Liaise closely with the Catering Sales Manager and Food and Beverage Director.
9. Requisition of stationery.
10. Keep a record of all banquet transaction/ correspondences.
11. Upkeep the maintenance/ cleanliness of personal computer/ word processor and office fixtures.
12. Maintain an updated record of all banquet reservations/ bookings.
13. Update/ check all banquet reservations/ bookings that are tentatively booked and follow-up with the person’s concerned.
14. Typing of Banquet weekly/ monthly forecast.
15. To assist in conducting site inspections in the absence of the Catering Sales Managers.
16. Perform any related tasks or duties as and when assigned by the Banquet Sales Manager and the Food and Beverage Director.
17. Report any complaints, problems and deviations to the Catering Sales Managers immediately.
