Church Senior Administrator

Kay Poh Road Baptist Church

CHURCH SENIOR ADMINISTRATOR:

We are seeking to hire a Senior Administrator to manage our church office administration matters and to oversee the church premises in order to keep it safe, clean, and well-maintained. This role will be part of a team of two administrators who will have their individual focus areas while sharing some general duties.


MAIN DUTIES AND RESPONSIBILITIES:

  1. Perform day-to-day clerical duties, including answering phone calls, attending to enquiries, preparation and printing of documents, managing church mail and deliveries, collating and submitting staff expense claims etc.
  2. Organise a systematic filing system to ensure accurate and up-to-date records in church database, including staff records, vendor and contractor records etc.
  3. Follow-up with various church ministries and prepare both hard and soft copies of weekly church bulletin.
  4. Translate documents from English to Chinese, and vice versa, to support our English and Cantonese/Chinese congregations.
  5. Prepare reports and other in-house materials as necessary (e.g. meeting agenda, meeting minutes, email announcements to church members, presentations etc).
  6. Provide secretarial support to the pastoral & ministerial team, including contacting and scheduling external speakers and in-house interpreters for sermons and events.
  7. Liaise with various church ministries and departments to provide support in administrative and logistical matters as necessary.
  8. Design, update, and regularly maintain church website to ensure up-to-date information is displayed.
  9. Review and recommend plans, policies, and processes concerning administration and facilities matters to improve efficiencies.
  10. Oversee the upkeep and maintenance of church building facilities and stock-taking.
  11. Schedule and supervise vendors and contractors to ensure maintenance and orderliness of church premises.
  12. Ensure permits are renewed on timely basis (e.g. vehicle parking permit, elevator operation permit etc).
  13. Unlock church gates and building doors in the morning and lock them in the evenings.
  14. Perform any other ad-hoc duties as required.


REQUIREMENTS AND SKILLS:

  1. At least 7 years of relevant experience in a relevant field.
  2. Familiarity with Google Drive and Microsoft Office (Word, PowerPoint, Excel etc).
  3. Able to speak, read, and write in English and Chinese (will be an advantage if able to communicate in Cantonese).
  4. Able to work independently with minimal supervision and takes initiative to follow-up and make recommendations.
  5. Possess strong organisational skill and able to multi-task with good time-management and prioritisation.
  6. Having experience in supervising a team member would be an advantage.
  7. Required to work at least one weekend (Saturday/Sunday).
  8. Comfortable to interact with church members and visitors.
