CHURCH SENIOR ADMINISTRATOR:
We are seeking to hire a Senior Administrator to manage our church office administration matters and to oversee the church premises in order to keep it safe, clean, and well-maintained. This role will be part of a team of two administrators who will have their individual focus areas while sharing some general duties.
MAIN DUTIES AND RESPONSIBILITIES:
- Perform day-to-day clerical duties, including answering phone calls, attending to enquiries, preparation and printing of documents, managing church mail and deliveries, collating and submitting staff expense claims etc.
- Organise a systematic filing system to ensure accurate and up-to-date records in church database, including staff records, vendor and contractor records etc.
- Follow-up with various church ministries and prepare both hard and soft copies of weekly church bulletin.
- Translate documents from English to Chinese, and vice versa, to support our English and Cantonese/Chinese congregations.
- Prepare reports and other in-house materials as necessary (e.g. meeting agenda, meeting minutes, email announcements to church members, presentations etc).
- Provide secretarial support to the pastoral & ministerial team, including contacting and scheduling external speakers and in-house interpreters for sermons and events.
- Liaise with various church ministries and departments to provide support in administrative and logistical matters as necessary.
- Design, update, and regularly maintain church website to ensure up-to-date information is displayed.
- Review and recommend plans, policies, and processes concerning administration and facilities matters to improve efficiencies.
- Oversee the upkeep and maintenance of church building facilities and stock-taking.
- Schedule and supervise vendors and contractors to ensure maintenance and orderliness of church premises.
- Ensure permits are renewed on timely basis (e.g. vehicle parking permit, elevator operation permit etc).
- Unlock church gates and building doors in the morning and lock them in the evenings.
- Perform any other ad-hoc duties as required.
REQUIREMENTS AND SKILLS:
- At least 7 years of relevant experience in a relevant field.
- Familiarity with Google Drive and Microsoft Office (Word, PowerPoint, Excel etc).
- Able to speak, read, and write in English and Chinese (will be an advantage if able to communicate in Cantonese).
- Able to work independently with minimal supervision and takes initiative to follow-up and make recommendations.
- Possess strong organisational skill and able to multi-task with good time-management and prioritisation.
- Having experience in supervising a team member would be an advantage.
- Required to work at least one weekend (Saturday/Sunday).
- Comfortable to interact with church members and visitors.
