Responsibilities:
- Responsible for office, retail spaces and event space rental.
- Preparation of Letter Agreement, Tenancy Agreement, Invoice for Initial Payment, following up on Stamp Duty Certificate, Insurances, etc.
- Maintain full tenancy and updated occupant records for the building.
- Issue reinstatement letters to terminating tenants and coordinate with FM team to arrange for pre-reinstatement inspection/discussion with the tenant.
- Attend to potential tenants and venue hirers of Event Spaces including site recces.
Responsible for the entire venue hire process from enquiry/site recce stage, application form submission, obtaining approval from client/building owner, following up on booking form and payment. - Formulate and obtain client’s approval for implementation of a standard operating procedure for Lease & Event management and coordination with FM team.
- Manage and coordinate booking of event spaces (Atrium, Design Gallery 1, shared meeting rooms, training rooms and Auditorium).
- Coordinate with FM contractors for event spaces set-up and logistics requirements.
- Handle communication and maintain good rapport with client/building owner, tenants and venue hirers.
- Work with FM contractors to assist on tenants fit out and address facilities related issues.
- Issue monthly rental invoices, manage and monitor rental records and payments recovery of rental or fee arrears.
- Prepare monthly statement of rental collection and updating monthly bank statement with tenant’s payments. Assist with Annual Rental Audit.
- Overall communications to Tenants, including public feedback and complaints.
- Other ad hoc duties assigned by Centre Manager from time to time.
Requirements:
- Degree/Diploma in Estate Management, Property/Building Management & Facility Management or equivalent
- 3 - 5 years of related experience in real estate/retail mall environment or similar capacity.
- Possess excellent negotiation, interpersonal and written skills.
- Ability to multi-task effectively and work in a fast-paced environment independently.
- Possess positive work attitude, drive and resilience to meet job challenges.
- Experience in technical M&E knowledge / leasing would be added advantage.
