Role Overview:

Our client is currently looking for a Admin / Accounts staff (Japanese Speaking).

You will handle all administrative and secretarial tasks in a small office setup. This role reports directly to the Japanese Director and requires proficiency in Japanese for communication with the Japan HQ and external vendors (e.g., accounting firms, law firms).


Senior Admin / Accounts Executive

Location: CBD

Position: Senior Admin / Accounts Executive

Working Arrangement: Hybrid Working Arrangement


Key Responsibilities:

Internal Administrative Work

  • Draft schedules for regular payments and request payments to the accounting firm
  • Update service contracts with external stakeholders annually
  • Handle corporate tax (coordinate with relevant external parties, submit necessary documents
  • Manage employees' personal income tax and GST submissions (coordinate with the accounting firm)

Coordination with the Head Office

  • Draft monthly budget reports and quarterly consolidated packages for the head office in Japan.
  • Manage service fee invoices
  • Assist with audit-related matters

Additional Tasks

  • Arrange Expats Matters
    • EP Renewal
    • Renewals of contracts for cars, hotels, and memberships
    • Manage administrative claims and business trip expenses for expatriates
    • Ad hoc expatriate Support (Assist with research and preparation of materials for new development and investment projects, manage petty cash and business trip expenses for expatriates)

Requirements:

  • Proficient in Japanese language skills (JLPT N1/2 level is preferred) is required for liaising with the Japan HQ.
  • Background in accounting, finance, or business administration will be required.
  • Financial support experience in drafting payment schedules, managing service contracts, and coordinating tax submissions to the external venders will be preferred
  • Administrative experience including handling EP renewals, contract renewals, and cash management for expatriates will be preferred
  • Detail oriented person, Team player

Others:

Salary: 4-5K +AWS +VB (depending on the individual performance)
