Position: Contract Admin Coordinator (Global Policy and Public Affairs)
Location: Pasir Panjang area, Singapore
Contract: 12 months + 1-month completion bonus
Salary: S$3,000 - S$3,500 (based on experience)
Working Hours: Monday to Friday, 8:30 AM to 5:30 PM
Other Benefits: 18 days of annual leave, S$400 outpatient claims per annum
About the Role:
As part of a Global Policy & Public Affairs (PPA) team in the APAC region, you will provide essential administrative and operational support, working closely with internal and external partners globally. You will play a critical role in helping the team streamline processes, maintain communications, and handle various administrative tasks, ensuring the smooth functioning of the team.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the PPA APAC team and its lead, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Meeting Coordination: Organize high-level meetings, teleconferences, and external visits, ensuring all logistics are in place.
- Documentation & Follow-Up: Manage meeting minutes, follow-ups, and expedite workflows. Support document and presentation development, including data verification.
- Vendor Management: Assist with drafting vendor agreements, managing purchase orders, tracking invoices, and ensuring compliance with company policies.
- Budget Tracking: Monitor the team’s budget and expenses, generating monthly reports and ensuring timely processing of payments.
- Internal Systems: Work with internal systems for processing approvals, purchases, and other administrative tasks.
- Team Communications: Manage the team's communication tools (e.g., Microsoft Teams), maintain distribution lists, and ensure electronic files are organized and up to date.
- Collaboration: Work closely with other administrative assistants and colleagues across the organization to support cross-functional coordination.
- General Administrative Duties: Handle incoming and outgoing correspondence, manage mail, and assist with additional tasks as directed by the APAC Lead.
