Primary Responsibilities:
Meeting/Office Coordination
- Coordinate and schedule meetings, training, appointments for executives and staff.
- Oversee PPE stock and arrange for replenishment if required.
Administrative Support
- Maintain and update filing systems, both electronic and physical.
- Input date into systems, generate reports, and track key performance indicators as required.
- Raise purchase requisition using in-house system.
- Review of Engineering drawings and feedback to relevant stakeholders.
Document Management
- Ensure all documents, including policies, procedures, and records, are accurately created, reviewed, approved and archived.
- Manage the document control system to maintain the integrity and confidentiality of all documents.
- Coordinate the review and approval process for new and revised documents.
Continuous Improvement
- Monitor and analyze documentation processes to identify opportunities for enhancement and increased efficiency.
- Propose and implement improvements to documentation processes and systems.
- Perform 5S management system for documentation in the system.
- Process and performs statistical analyses on data sets
Requirements:
- Diploma in Business Administration, Information management, or a related field.
- Relevant certification (e.g. Certified Document Controller) are a plus.
- Relevant and proven experience in administrative work, with a strong understanding of documentation management systems and practices.
- Proficiency in document management software and Microsoft Office Suite
- Ability to work independently and manage priorities effectively
- Proficiency in reading and interpreting engineering drawings and schematics
