Primary Responsibilities:

Meeting/Office Coordination

  • Coordinate and schedule meetings, training, appointments for executives and staff.
  • Oversee PPE stock and arrange for replenishment if required.

Administrative Support

  • Maintain and update filing systems, both electronic and physical.
  • Input date into systems, generate reports, and track key performance indicators as required.
  • Raise purchase requisition using in-house system.
  • Review of Engineering drawings and feedback to relevant stakeholders.

Document Management

  • Ensure all documents, including policies, procedures, and records, are accurately created, reviewed, approved and archived.
  • Manage the document control system to maintain the integrity and confidentiality of all documents.
  • Coordinate the review and approval process for new and revised documents.

Continuous Improvement

  • Monitor and analyze documentation processes to identify opportunities for enhancement and increased efficiency.
  • Propose and implement improvements to documentation processes and systems.
  • Perform 5S management system for documentation in the system.
  • Process and performs statistical analyses on data sets

Requirements:

  • Diploma in Business Administration, Information management, or a related field.
  • Relevant certification (e.g. Certified Document Controller) are a plus.
  • Relevant and proven experience in administrative work, with a strong understanding of documentation management systems and practices.
  • Proficiency in document management software and Microsoft Office Suite
  • Ability to work independently and manage priorities effectively
  • Proficiency in reading and interpreting engineering drawings and schematics
