About Our Client

Our client is a non-profit organization and a partnership platform that connects governments, businesses, and farmers to promote sustainable agricultural development and improve smallholder farmer livelihoods in Southeast Asia. The organization's mission is to address food security and environmental sustainability challenges within the region. They are now seeking a Head of Finance & Operations to join their team.

As the Head of Finance & Operations, you will drive large-scale impact by enhancing financial and operational performance and strategically mobilizing grants and human resources. Reporting directly to the Executive Director, this role will oversee financial and operational planning, grant management, and financial compliance at both regional and country levels, ensuring the effective coordination of grants and resources across the organization's initiatives.

Job Description

Finance and Operations:

  • Lead the Finance and Operations department, acting as the organization's financial controller and overseeing all daily financial and operational functions in line with relevant regulations and internal policies.
  • Collaborate with the Executive Director and departmental heads to evaluate operational needs and translate the organization's strategic objectives into effective operational solutions.
  • Manage annual business planning, ensuring operational efficiency, and overseeing human and financial resource allocation, along with regular reporting.
  • Develop and maintain a risk register to identify and mitigate financial risks and ensure compliance through a robust internal audit process.
  • Monitor expenditures and collaborate with teams to update financial forecasts and implement adjustments as necessary.
  • Ensure timely collection of donor receivables and settlement of payables, ensuring strong financial health.
  • Partner with management to establish systems that enable efficient and transparent data capture for both internal and external reporting.

Grant Management and Compliance:

  • Oversee the full life cycle of grants and matching contributions
  • Work closely with the Head of Programs and the Head of Partnerships to ensure timely and effective deployment of resources to programs and regions (including Cambodia, Indonesia, Papua New Guinea, the Philippines, and Vietnam).
  • Implement systems and processes to track and evaluate progress towards operational goals.
  • Support grant application prioritization, new donor onboarding, financial due diligence, and ensure the timely submission of concept notes, funding proposals, donor reports, and audits.
  • Oversee budget planning and financial reporting for individual donors, and when necessary, provide contract and compliance-related information to partners.

Team Leadership and Organizational Growth:

  • Guide the expansion of human resources and capabilities to support new programs and country chapters in line with organizational growth strategies.
  • Lead a small team of Finance, HR, and Operations staff, providing guidance in managing systems and tools to ensure in-country programs meet donor and partner expectations.
  • Oversee the communication and implementation of policies, including the management of the Employee Handbook, ensuring consistency across the organization.
  • Provide coaching, mentorship, and collaboration with regional and country staff, promoting programmatic success and fostering professional development within the team.
  • Work closely with the Head of Partnerships to support operations in Cambodia, the Philippines, and Vietnam, and oversee the organization's programs in Indonesia and Papua New Guinea.
  • Partner with the Executive Director to improve cross-departmental knowledge sharing, break down silos, and champion collaborative, matrixed projects.
  • Liaise with external vendors to ensure recruitment processes align with the organization's diversity and inclusion goals, and oversee optimal talent acquisition.
  • Manage the onboarding process for new hires, including contracts, visa applications, reference checks, and IT compliance.
  • Assist in the organization and smooth execution of governance meetings and events, including Governance Council meetings and the organization's annual Investment Forum.
  • Foster a work culture rooted in respect and excellence, ensuring that team members are engaged and motivated to achieve success.
  • Represent the organization at external events and develop relationships with key donors and partners.
  • Lead and participate in global and regional calls and donor meetings as required.

The Successful Applicant

  • A Bachelor's degree in a relevant field such as business or finance.
  • A minimum of 12 years of progressive experience, ideally in multi-country leadership roles focused on climate change or sustainable finance within the food and agriculture sector (across corporate, nonprofit, or consulting roles).
  • Proven experience in leading diverse teams and managing budgets and operations across multiple countries, particularly in low-income geographies.
  • Strong background in the design, execution, and management of large-scale, multi-country programs.
  • Exceptional written and verbal communication skills.
  • Meticulous attention to detail with strong organizational and interpersonal skills, capable of working effectively with stakeholders across the public, private, and civil society sectors.
  • A high level of integrity and commitment to sustainable development and transforming food systems.
  • Emotional intelligence, patience, and an openness to new perspectives.
  • A forward-thinking mindset, actively seeking opportunities and suggesting innovative solutions.
