Job Description:
We are seeking a Finance cum Administrative Assistant to join our Active Ageing team and provide support in various administrative tasks. The ideal candidate will be organized, detail-oriented, and proficient in handling multiple responsibilities efficiently. As an Administrative Assistant, you will play a crucial role in ensuring smooth operations within the organization.
Responsibilities:
1. Prepare Reports:
• Compile and prepare the AIC (Agency for Integrated Care) Quarterly Progress Report.
• Generate the Befriending and Buddying Quarterly Report accurately and in a timely manner.
• Draft the PDPA (Personal Data Protection Act) Consent Form as required.
• Generate the Project Funding Report, ensuring accuracy and compliance with guidelines.
• Handle any other progress reports mandated by AIC, following specified formats and deadlines.
2. Update Health Evaluation Records:
• Maintain accurate and up-to-date records of health evaluations.
• Ensure confidentiality and compliance with data protection regulations.
• Organize and store records systematically for easy access and retrieval.
3. Update Care Plan Records:
• Assist in updating care plan records for individuals or groups.
• Collaborate with relevant team members to ensure care plans reflect current needs and goals.
• Document any changes or updates to care plans accurately and promptly.
4. Procurement
• Manage the end-to-end procurement process, from requisition to delivery.
• Prepare and issue purchase orders in accordance with company policies and procedures.
• Track orders and ensure timely delivery of goods and services.
• Address any issues related to delivery, quality, or pricing with suppliers.
5. Undertake Ad-hoc Admin Tasks
• To perform other admin duties as required by the organisation when required
Qualifications and Skills:
• Proven experience as an administrative assistant or in a similar role.
• Excellent organizational and time management skills.
• Strong attention to detail and accuracy.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to prioritize tasks and manage workload effectively.
• Good communication and interpersonal skills.
• Familiarity with healthcare or social services environment is a plus.
• Knowledge of data protection regulations (e.g., PDPA) preferred.
Education:
• Diploma or equivalent; additional qualifications in finance administration or related field is a plus.
