Job Descriptions
· Submission of documents (Drawings/Reports/Material/Inspections/RFI/Letter/Authorities) to be done via in-house protocol or other electronic data management systems based on project requirement (ie. Aconex, Procore Conject, BIM360)
· Provide full admin support to the Project team
· Prepare, submit, file, scan and follow up of all daily operations of all documents, including drawings, materials and related specifications and technical data related to the project
· Co-ordinate with sources of submission – HQ, Site team, Sub-con and suppliers relating to the detailed information of the documents/materials for approval
· Co-ordinate with the planning team and site team to prepare, compile and submit weekly progress reports
· Assist Project Manager in preparation of presentations to be used in conferences/meetings with internal and external parties
· Co-ordinate with site team for the preparation and compilation of minutes of meeting
· Assist in sending material requisition to HQ-Procurement as needed at project site.
· Monitor the attendance of all personnel at project site.
· Monitoring and ordering of office supplies for project site.
· Act as the liaison person between HQ and project site for staff and worker matters
· BCA SMM document submission
· Any other duties as may be assigned.
Job Requirements
· Bachelor’s degree in Business Administration or related field (or equivalent experience).
· Previous experience in document control, records management, or a similar role.
· Experience with document management systems and software.
· Strong organizational skills and attention to detail.
· Excellent communication and interpersonal skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Ability to work independently and as part of a team.
· Knowledge of regulatory requirements and industry standards for document control.
