Job Description:

Events and Management Associate

As Events and Management Associate, you will support SwissCham’s Executive Director and SwissCham’s Event and Marketing Manager in the financial management of the organization as well as support the delivery of high-quality events and communication strategies.

Key Responsibilities:

Financial Management:

  • Be responsible for SwissCham’s bookkeeping (Xero) and payments. Ensure that bookkeeping is up to date and that payments are in line with approved expenditures. Prepare monthly financial reports for the Boardmeeting.
  • Issue invoices and follow up on outstanding payments.
  • Support the annual audit to ensure timely auditing of SwissCham’s accounts.
  • Keep track of SwissCham’s main contracts and expenditures.
  • Support at Board and other Meetings- taking minutes, preparing presentations.

Customer Relation Management:

  • Ensure that SwissCham’s Contact Database (Glue Up) is up to date
  • Swiftly reply to member queries

Event Support:

  • Plan exciting events that leave a lasting impression, from negotiating with suppliers to designing invitations and promoting events.
  • Manage event registrations
  • Liaise with speakers and participants
  • Design visuals, flyers, invitations and EDMs for the promotion of events
  • Ensure seamless event logistics by managing registrations, attendance, and providing on-site support during our events

Website and Social Media support:

  • Communicate/ perform event updates on SwissCham Glue Up website
  • Create content, and share relevant information with SwissCham members via the monthly newsletter - Daily/ Weekly email marketing
  • Social media posts and creative writing
  • CRM and database management

Requirements

  • Degree in communication, media, business, or a related field. Fresh Grads welcome!
  • Knowledge in financial management, preferably in accounting and bookkeeping
  • Proactive attitude and ability to thrive in a multicultural environment.
  • Excellent organizational skills and attention to accuracy in work.
  • Proficiency in computer skills and basic design skills for websites and newsletters are strong assets.
  • Affinity with the Swiss community in Singapore
  • Excellent English language skills; proficiency in French or German is a plus.
  • Must be based in Singapore.
