Overview:
The Management Support Officer provides essential administrative and operational support to the management team. This role involves handling a variety of tasks that ensure the smooth functioning of the office, facilitating communication within the organization, and assisting in the execution of strategic initiatives.
Roles & Responsibilities:
- To process gifts in all payment methods, and to clarify any missing, incomplete or vague information with donors to credit funds accurately.
- E-file official gift receipts and respond to any queries in order to be held accountable for gifts in secured manner.
- Search for statuses, information, trigger, track and mail out appreciation letters to donors, as well as draft a templated appreciation letters to ensure timely deliveries of these letters.
- Provide events logistical support; such as booking of event venues, prepare name tents, mock cheques and carpark lots.
- Processing of invoices and paperwork.
- Sourcing, Ordering, Purchasing, and Receiving of merchandise, gifts, and collaterals, as well as monitor and replenish stocks.
- Upkeep and maintain records of profiles and contacts.
Requirements:
- Proficient in digital tools, such as MSOffice
- Good interpersonal, oral, and written communication skills.
- Merticulous and organized.
- Able to work independently and with tight deadlines, able to priotize tasks and escalate matters.
- Service-oriented mindset.
Specifications:
- Location: Instituition in the west.
- Working hours: Weekdays, 8am - 2pm (Part-Time)
