Contract- 2 year (Full- Time)
Support the management of procurement activities for the sourcing of goods and administrative services for the organization.
Responsibilities
• Perform timely execution of procurement activities (sourcing, tendering, seeking purchasing approvals)
• Conduct sourcing and market study activities
• Conduct demand aggregation to identify and quantify requirements
• Draft procurement documents (ITQ, ITT, Submission Report, etc) for review
• Prepare recommendations based on pricing and quality factors for evaluation committee approval
• Ensure all documentation and approvals are filed for record purposes • Update trackers on contract utilisation
• Ensure the whole procurement process from demand aggregation to contract award is completed within timelines
• Issue Purchase Orders to suppliers and follow through on outstanding issues
• Request Statement of Accounts from vendors to track contract utilisation
• Ensure completeness in financial documents for payment processing
• Prepare draft of annual budgets and mid-year budget revisions for management approval
• Understand and Adhere to SOPs, Financial and Procurement guidelines
• Identify and recommend the creation of new SOPs or revision of the existing SOPs in the administration department
• Provide administrative support such as:
- Support the on and off-boarding of new joiners & leavers
- Issue/receive loan items for events & office use
- Manage office supplies stock and Issue to user division when required
- Manage assets & inventories
• Participate in Divisional and SINDA-wide events when required
• Any other duties as assigned by RO/ HOD
Requirements
• Degree / Diploma in any discipline
• Good command of written and spoken English
• Ability to draft official documents using formal language
• Proficient in Microsoft Office, particularly Excel, PowerPoint and Word
• Knowledge in Power Bi would be an added advantage
• Positive mindset: willingness to learn and contribute
• Must be a good team player and able to establish good relationship with peers
• Good communication and interpersonal skills
• Good time management skills and able to work in a fast-paced environment
• Able to plan, prioritize and multi-task well and generate outcomes
• Able to work independently with minimal supervision
• Meticulous, good decision and problem-solving skills
